Job OverviewAARS/HR360 is hiring for an Administrative Assistant for our Santa Clara County offices located in San Jose and Milpitas. If you consider organizing and categorizing as a strength of yours, then this position is for you!


Project Learn provides psychosocial services to incarcerated or formerly incarcerated individuals in custody and/or the community. Program goals are to improve client coping, reasoning, social, and problem-solving skills; to reduce client risk of alcohol and drug relapse; and reduce recidivism.


The Administrative Assistant is responsible for providing on-site administrative and clerical support. While this list is not exhaustive, the primary duties include reception coverage, data entry of attendance sheets, archiving and categorizing charts, and working independently to support the Program Manager and Administrative Support Manager. This position requires an ability to maintain strict confidentiality and handle sensitive information with excellent customer service skills, tact, and diplomacy. All Administrative Assistants are cross-trained to assist multiple programs as needed. This position is 32 hours per week, mileage is compensated while traveling between locations.


Key Responsibilities


Administrative Responsibilities:


  • Manages and direct client traffic in the reception area while providing a sense of the welcoming AARS culture.
  • Provide informational resources Scheduling appointments using the Microsoft Outlook calendar and appointment cards.
  • Provides general administrative and secretarial support, including (but not limited to) word processing, answering telephones, checking and delivering messages, handling general inquiries, distributing male, faxing, copying, etc.
  • Develops, transcribes, and distributes meeting minutes, reports, and/or general information as needed.
  • Participate in Health & Safety assignments per Health & Safety Representative.


Facility Responsibilities


  • Procure and maintain inventories of supplies for the kitchen, the IT Department, and the general office area.
  • Maintains neatness and organization of general office area.
  • Arranges, attends, and assists with meetings, staff trainings, conferences, etc., as needed.


Data And Compliance Responsibilities


  • Assists in maintaining confidential files in both physical and electronic forms.
  • Assists management with reconciliation of data.
  • Provides data entry, including (but not limited to) client data, billing, and reports.


Billing Responsibilities


  • Processes expenditures, including petty cash, client fees, expense forms, and reimbursements.
Education and Knowledge, Skills and AbilitiesEducation, Certifications, and Registrations:


  • Minimum: Highschool/GED.
  • Desired: Bachelor's degree or equivalent in Business Administration or related field.


Required


  • CPR certified within 30 days of employment.
  • First Aid certified within 30 days of employment.


Experience


  • Minimum: Experience of volunteering or special projects related to general office work.
  • Desired: At least one (1) year of general office work experience. Experience working in the behavioral health field. Experience with billing and data collection.
Skills, Knowledge, and Abilities:


  • Strong proficiency with Microsoft Office applications, specifically Word and Outlook, and internet applications.
  • Understanding of and willingness to work with traditionally underserved populations.
  • Cultural competency and ability to work with diverse populations.
  • Ability to travel to and from worksite and other locations within the Bay Area as needed.


Background Clearance Required


  • Ability to pass Live Scan clearances if required.
  • Must not be on active parole or probation.
