General Purpose of the Position
The Administrative and Program Assistant reports to the Administration Manager and provides administrative support to the various MAIG Program areas, as needed, as a flexible resource to assist in all areas of the company, at the discretion of the Administrative Manager, depending on workload and project demands. Duties include general administrative tasks such as note-taking, scheduling, maintaining filing systems, preparing/editing/distributing internal communication, calendar management for executives and managers, special project support, including direct contract support if needed, such as digital transcribing, and working with the Travel Team to coordinate travel. Other duties will include special projects and tasks as assigned. The Administrative and Program Assistant will participate in training and skills building as needed, to also serve as a backup Reader and a member of the Transcription Team. Security clearance is required for this position; MAIG is willing to sponsor an otherwise qualified candidate for clearance.

- Previous experience handling travel logistics including preparing travel authorizations is desirable but not mandatory. This includes trip itineraries, expense estimates (i.e. M&IE, taxi, hotel, etc.) and knowledge of how to prepare travel authorization requests;
- Knowledge of American Sign Language, interpreting, and/or Deaf culture preferred.
- Ability to interface with executive leadership, establish credibility and build effective relationships.
- This position requires frequent verbal and written communication skills
- This position requires basic math skills to calculate formulas, commissions, discounts, etc.
- Flexibility, adaptability, and the ability to effectively manage through change and transition.
- Working knowledge of local and federal regulatory laws and requirements.
- Polished communication skills, both written and verbal, and interpersonal skills, including conflict resolution.
- Excellent knowledge of Microsoft Office applications (Excel, Outlook, Word and Access) and SharePoint;
- Strategic thinker with the ability to set priorities based on customer needs and organizational priorities and preferences.
- Strong computer skills with proficiency in spreadsheet, word-processing, database, and presentation software applications.
- Strong customer service orientation and the ability to interact effectively with staff at all levels of the organization.
- Bachelor’s degree in related field and/ or at least 2 years of business administration experience.
- Clearance required: Active Top Secret
- Must be able to lift up to 20 pounds.
- Must be a self-starter demonstrating high-levels of integrity and responsibility while working independently.
