Position Description
Permanent exempt. Exempt employees are considered “at will” and serve at the discretion of the appointing officer.
This position is grant funded and funding is reviewed on a yearly basis. Hours are subject to change after appointment dependent upon grant status.
Under the direction of the Dean of Outreach & Community Partnerships, the Junior Management Assistant, CTE /Credit Programs will be responsible for the program’s operation, planning, support services, and coordination. The position consists of professional work involved in planning, implementing, and evaluating student outreach for City College of San Francisco Ocean campus and Center locations, with a focus on Career Technical Education ( CTE ) programs, Working Adults, and Workforce Development.
Essential functions are direct services to potential and current students, managing office, and coordinating clerical and technical support activities. Under direction, the position collaborates with staff, faculty, and administrators to strategically plan a variety of outreach programs, services, and enrollment activities related to City College of San Francisco enhancing college admissions, retention, and community partnerships.
A flexible work schedule including evening and weekend hours is mandatory. Public contact is extensive and includes staff, students, outside educational institutions, community organizations, businesses, and the general public for the purpose of increasing enrollment at City College of San Francisco.
Job Duties
1. Represents City College of San Francisco at community-based organizations, government agencies, and schools on and off campus; this includes but is not limited to: application workshops, community events, job fairs, CCSF presentations, tours and events at CCSF centers; Hours include weekends and evenings.
2. Exchanges information with management and other staff, community and government agencies, educational institutions, and others regarding outreach, enrollment, retention, and related services; makes face-to-face and/or virtual presentations to small and large groups to provide information about City College of San Francisco; attends meetings, special events, workshops, and other activities to obtain current information; designs, coordinates and conducts campus tours for potential CTE students.
3. Plans, develops, implements, and evaluates student recruitment programs, events, activities and services, in conjunction with other staff, faculty, administrators, students, other educational institutions and business/community representatives.
4. Selects, trains, and directs the work of student ambassadors and classified staff in outreach services and updates training manual.
5. Researches student enrollment and retention history and trends for use in developing correspondence, surveys, and other materials for outreach to potential and current students.
6. Collaborates with student affairs, academic affairs, and other college personnel to develop recruitment and retention campaigns that target specific CTE populations, and relevant college programs; meets with community-based organization, industry, and government agency staff to compile data related to potential student interests, workforce data, scholastic goals, demographics and other topics.
7. Provides students with transition support and serves as a primary point of contact for students to academic and student support services within the institution.
8. Provides administrative support related to the operations of Outreach Services.
9. Gathers, compiles, analyze data and prepares reports using database programs, spreadsheets, various word processing applications, and statistical techniques to conduct needs assessments, evaluation reports, compile and analyze statistical data, and prepare reports for student learning outcome program evaluation, program review, and strategic planning.
10. Actively participates in new technology including updates to website and social networking avenues such as Instagram, Facebook, Twitter, Snapchat, LinkedIn, and more.
11. Other duties as assigned.
Minimum Qualifications
Possession of a baccalaureate degree from an accredited college or university with major coursework in public or business administration, accounting, finance, economics, social sciences, education, or related field, or other areas closely related to specific department program or function.
Substitution: May substitute up to two (2) years of the required education with additional qualifying experience in program/office/operations management, budget development and/or administration, or contract/grant administration. One year (2000 hours) of additional qualifying experience will be considered equivalent to 30 semester units/45 quarter units.
Note: Work experience with the District as a College Work Study student or Lab Aide (3591 Classification) will not be considered or applied as qualifying experience.
Desirable Qualifications
1. One or more years of increasingly responsible administrative support or coordination experience in a higher education setting.
2. Experience working in Community College programs or settings supporting students.
3. Demonstrated knowledge and sensitivity of issues and concerns related to CTE students.
4. Ability to pay close attention to detail to ensure consistent accuracy and prioritize workload with frequent interruptions.
5. Self-motivated and experience in prioritizing many different projects simultaneously, follow-through, and timely completion of projects by established deadlines.
6. Demonstrated effective oral and written communication skills, including conducting tours and presentations.
7. Effective experience in conflict resolution in person, virtually, email and/or by phone. Ability to take initiative, problem solve and work independently with good judgment about when to seek direction.
8. Ability to maintain good interpersonal working relationships with a variety of college stakeholders including staff and students and external partners such as high schools and community-based organizations.
9. Must be highly proficient in Outlook, Microsoft Office, and Google Docs. Ability to utilize current technology to enhance services, administer website updates and other programmatic requirements as needed.
10. Understanding of regulations related to handling of confidential student information.
11. Possession of a valid California Driver’s License and the ability to drive to off-site locations.
12. The ability to lift 20 lbs.
13. Bilingual language proficiency.
Benefits
1. Additional Days Off with Pay. As stipulated in the appropriate bargaining agreements and board resolutions, Classified employees working full-year (260 days/year) work schedules are granted, as paid days off, the days between Christmas Day and New Year’s Day, as well as an additional five (5) paid days off during spring break. Eligible school-term-only ( STO ) employees who are not scheduled to work the designated days between Christmas and New Year’s Day shall be granted three (3) paid days off to be scheduled by mutual agreement between the employee and supervisor. Eligible school- term-only ( STO ) employees who are not scheduled to work the days designated as Spring Break will not be paid for these days off.
2. New employees hired on or after October 1, 2013 will contribute 2% of salary to the San Francisco Retiree Health Care Trust Fund ( RHCTF ).
