This position provides accounting support to the flight department as the primary contact for billing and reconciliation while serving as a backup for other roles within the department to include scheduling and travel services. Additional responsibilities include analyzing and responding to information requests that require analyzing trends and creating system-generated reports. The position involves contact with vendors, government agencies, management, and co-workers.
Typical Duties
Follows department guidelines and procedures to ensure timely and accurate remittance and routing of invoices and works closely with outside vendors and internal accounting contacts to resolve billing issues and ensure expenses are accurately reported.
Perform audits and provide reporting on travel usage and costs to promote cost control improvement, accurate accounting, and savings on overall BHE travel expenses.
Works closely with departmental staff in the development of annual flight operations O&M budget and ten-year plan.
Supports corporate aircraft scheduling by serving as a backup to the scheduler; this includes support in preparation and updates to the flight manifest. Additionally, making reservations for hotel and ground transportation as primary contact for corporate aviation travel planning and business travel for executives and guests on company aircraft.
Performs high-level executive coordination (verbal and written) which includes – coordinating schedules, managing calendars, organizing daily work and projects; timely completion of weekly and monthly reports, code-block validations for processing check disbursements and expense reports.
Perform additional responsibilities as requested or assigned.
Associate's degree in business or related major or equivalent work experience. Technical degree or background preferred. (Typically, four years of related, progressive work experience would be needed for candidates applying for this position who do not possess an associate's degree.)
A minimum of two to four years of experience in an administrative support role.
Excellent computer skills to gain an understanding of the billing system and other applications.
Experience with Microsoft Office applications including advanced skill set in Microsoft Excel, Word and Outlook.
Extreme organization skills for electronic filing.
Effective interpersonal skills, customer focus and the ability to work as a member in a team-oriented environment.
Effective oral and written communication skills.
Effective analytical and problem-solving skills.
Ability to prioritize and handle multiple tasks and projects concurrently.
