Job Description

**This position is eligible to work a hybrid schedule for candidates who reside in the Boise, Idaho area**
Summary:
Provides administrative support to branch leadership, such as composing correspondence, creating PowerPoint presentations, and coordinating branch events. Monitors general email accounts and responds to messages as appropriate. Troubleshoots various system and equipment issues, submits requests for repair and collaborates with Corporate IT and outside vendors to resolve issues. Schedules, coordinates, and provides assistance for meeting and training logistics, including travel arrangements. Solicits agenda items and transcribes meeting notes. Orders supplies, tracks expenses, and enters accounts payable in system for approval. Responsible for the day-to-day condition of the office and oversees office remodeling. Manages branch fleet and coordinates the resolution of building security issues.
Essential Functions:
  • In collaboration with Corporate IT, troubleshoots various network, software, hardware, security system and phone problems
  • Coordinates with Risk Improvement to evaluate workstations to ensure ergonomic correctness
  • Provides administrative support to the Marketing team, such as inputting prospective agents, updating territory and underwriting assignment changes, entering and maintaining agent profile information, and producing agency welcome packets. Prepares, scans and indexes documents into imaging system
  • Reports and oversees repairs and maintenance issues to Property Management and/or Corporate Real Estate Services
  • Oversees office remodeling, relocation or construction projects and ensures compliance with any regulations, including ADA requirements
  • Tracks expenses and submits for reimbursement. Prepares invoices for payment, determines proper coding for accounts payable, and submits invoices for approval
  • Evaluates needs and makes purchase/lease recommendations while ensuring all proper purchasing procedures are followed and appropriate approvals are obtained
  • Coordinates building security issues, including alarms, badges, cameras, etc.
  • Coordinates branch workers’ compensation program, ensuring compliance with safety guidelines, as required by state law
  • Oversees branch emergency and safety plans and ensures that all necessary employees are properly trained in safe equipment operation
  • Sets up and performs basic troubleshooting for laptops, printers, monitors, scanners, phones, etc. and maintains tracking of office equipment
  • Manages the branch fleet, including pool vehicles, completes auto expense worksheets for branch pool cars and updates fleet system and ensures routine maintenance of pool cars, quarterly inspections and tracks pool car use
Education & Experience:
  • Three years of administrative work or related experience
  • High school diploma or equivalency
Knowledge, Skills & Abilities:
  • Strong human relations and customer service skills
  • Strong organizational and multi-tasking skills with the ability to meet deadlines
  • Basic knowledge of the property and casualty industry preferred
  • Ability to maintain a high level of confidentiality
  • Local driving; a valid driver’s license with an acceptable motor vehicle report per company standards required if driving
  • Excellent verbal and written communication skills
  • Good math aptitude and basic accounting/bookkeeping skills
  • Strong computer skills, including knowledge of Microsoft Office Suite, including Word, Excel and PowerPoint
