Job Description
Overview:
The travel program coordinator is responsible for supporting the university’s travel program, both internationally and domestically. An important focus of the position will be to provide support for group travel arrangements including travel logistics for guests visiting campus for university-sponsored events as well as outbound travel. The program coordinator will ensure the booking/reservation and contracting of the various travel segments are made with the appropriate suppliers and will ensure effective communication among all parties. This position will support the sourcing of group travel suppliers when necessary and in the development of effective processes both internally and externally in support of group travel arrangements. The program coordinator will also collaborate on the communication and training of the processes that will support group travel.

As part of the position’s group travel duties, the program coordinator will also collaborate with campus stakeholders including faculty, staff, and students to ensure the effective and efficient support of University travelers both domestically and abroad, as well as guests attending University-sponsored events.

The program coordinator responds to program inquiries and provide customer service support to University affiliates who need assistance with more complex travel bookings. The coordinator will also serve as a communicator and facilitator of the University’s travel policy.

Under the direction of the Associate Director, Travel Program, the coordinator will perform data analysis and reporting to support the travel program and to inform program decision-making. Additionally, the travel program coordinator will assist the Associate Director with contract review for groups, meetings, and events.
Responsibilities:

Travel Program Support

  • Reviews meeting and event contracts initiated by campus partners and suppliers and provides contracting assistance for University departments and organizations.
  • Performs other duties as assigned to ensure efficient and service-oriented operation of the travel and expense program.
  • Collaborates with campus partners to share best practices for booking and paying for travel and to find solutions for existing challenges faces by individual departments.
  • Documents existing processes of the travel program (including travel agency and suppliers) and pursues opportunities for process improvement.
  • Responds to program inquiries and assists University affiliates who need guidance with booking travel.
  • Serves as a key communicator of the features and benefits of the travel program to increase adoption of the travel program.
  • Communicates and helps interpret travel policy for campus partners and facilitates policy compliance through education and outreach.

Group Travel Support

  • Project-manages all groups from pre-departure through return including post-trip evaluation. Holds regular meetings with trip leaders and organizers to ensure successful communication among travel planners and travel suppliers. Meets with travel suppliers to ensure a seamless travel experience for all group participants.
  • Provides support to group as needed to resolve travel-related issues
  • Creates full and final group itinerary that meets departmental requirements.
  • Serves as a key point of contact for group travel arrangements.
  • Partners with the Global Safety & Security unit to support the University’s travel care program.
  • Works with travel suppliers, travel agencies, and others to review contracts, make reservations, and facilitate payment.
  • Collaborates with the Office of the Vice Provost for International Affairs and Operations to ensure faculty-led student group travel logistics support educational and experiential objectives.
  • Provides appropriate reporting to group organizers for each group event.
  • Collaborates with Office of Admission, Office of the Dean of Students, Office of the Dean of Faculty, Conference and Event Services, student groups and other campus organizations to provide structure and support for group travel related to meetings and events.
  • Collaborates with group organizers to document travel requirements. In partnership with group organizers, creates travel plans and itineraries that meet the group objectives.

Program Communications and Training

  • Maintains the travel program website including ensuring content is accurate, current, and informative.
  • Collaborates on the development and communication of travel program announcements, information sessions, fairs and events, and other channels to communicate key program information.
  • Collaborates on the development and delivery of travel training materials to University travelers, and service providers.

Reporting, analytics, and other duties

  • Provides digital analytics as needed, to increase travel and expense website traffic and meet content needs of campus partners.
  • Helps determine the best reporting sources for group travel. Assists in the determination of the appropriate metrics and KPI’s.
  • Collaborates in the design and distribution of travel analytics and reporting to travel stakeholders including campus partners and travel providers.
  • Provides program reporting and metrics to the Associate Director, Travel Program as needed.
Qualifications:

  • 3-5 years of work experience in the travel industry or related experience.
  • Demonstrated project management skills with experience leading initiatives from start to finish.
  • Demonstrated excellence in verbal and written communications skills.

Preferred Qualifications:

  • Prior meeting and event planning experience including knowledge of Cvent, Groupize, or other group travel booking, management, and/or registration technologies.
  • Prior experience planning and/or supporting higher education and/or student travel.
  • Proficiency with Concur Travel & Expense.
  • Work experience in group travel, tour operation, or travel logistics/traffic operations.
