Summary


Coordinates the day-to-day operations of the department. Collects necessary information to track the success of basic outcomes processes and procedures to support the on-going analysis and improvement of departmental efforts. Works with management to implement the communications priorities of the department and College. Leverages a sound understanding of the departmental focus to collaboratively work with colleagues to achieve goals of the department, division and college. Contributes to the continued effectiveness of the team and department by developing and sustaining productive customer and employee relationships. Provides administrative assistance to supervisor as needed.


Essential Functions


  • Maintains on-going communication with departmental leadership to report important information, occurrences and issues within the department
  • Provides administrative support to supervisor, team and/or VP of HR as needed
  • Supports and engages in the preparation and delivery of new employee orientation
  • Aids the team’s efforts to complete assignments as needed
  • Develops strong working relationships with key departments and employees across the College and in the community
  • Aid and support in the planning, maintaining, and monitoring of a business area’s budget, and contract materials
  • Assists with the preparation of reports, presentations and publications, including research, writing and copy-editing and presenting
  • Supports in the maintenance of the team learning management software and other
  • Positively responds to requests via phone, email, or mail in a timely manner with strong emphasis on outstanding customer service
  • Establishes and maintains general office documents, e-files and records including organizing proposals, budget updating and contract revision
  • Assists with other department College-wide projects, events, conferences, meetings, initiatives and committees
  • Attends staff and project team meetings and provides follow-up on meeting outcomes including meeting notes, tracking resulting activities and projects
  • Answers phones and screens incoming calls and mail; responds independently to inquiries, drafts responses for leadership review or refers as appropriate
  • Prepares and presents required and special reports as needed utilizing the Microsoft Office Suite and College systems to include metrics, budgets, surveys, training, event prep. and learning management systems.
  • May select, train, oversee and evaluate part-time student assistants, interns and part-time assistants
  • Prepares and maintains as appropriate confidential correspondence and documents and assists in processing documents related to employees, purchase orders, employment, benefits and performance review activities
  • Performs other duties as assigned
  • Support and manage leadership schedules/calendars; schedules and attends various internal and external facing meetings, drafts and sends materials, completes assignments as directed, prepare and assemble agendas for orientations, training and other pre-post meeting materials


Required Qualifications


EDUCATION AND EXPERIENCE/TRAINING


  • Demonstrated progressively responsible experience in professional office environment
  • Demonstrated experience making sound decisions that affect a work unit or team
  • Demonstrated experience in a role requiring diverse problem-solving methods in a variety of situations
  • Associate degree and a minimum of three (3) years; OR a Bachelor’s degree and a minimum of two (2) years of:
  • Significant related experience may substitute for education
