Job Description

Position Summary


The Specialist, Human Resources Communications creates and aligns communications plans and content that supports all HR functions. This role will routinely partner with HR leaders and team members in developing and executing programmatic materials, SharePoint Online content, and internal communications related to HR programs and the employee lifecycle. This role will also leverage their project and program management skills to support other HR functions. Success in this position is demonstrated by your willingness to own projects, take initiative, think broadly about problems and solutions, and collaborate at a high level. The Specialist, Human Resources Communications reports to the Manager, Employee Voice & Experience.


Key Responsibilities


  • Assist with cross-functional project management duties including coordinating meetings, capturing notes, tracking decisions and action items, and maintaining project plans
  • Support overall Strategic Talent Leader (STL) team requests such as project coordination, research, reporting, system testing, program support, etc.
  • Seek innovative solutions and advancements to internal communications challenges including working closely with branding stakeholders to ensure all documents are reflecting recent guidelines and corporate compatibility in present state
  • Produce (i.e. planning, copywriting, and gathering approvals) the monthly company-wide HR e-newsletter to share key information about topics that are top-of-mind for our people related to the workplace, their finances, and wellbeing
  • Other duties as assigned
  • Develop timely communication strategies and plans that support the achievement of HR goals and priorities in line with the organization’s strategic direction targeted to internal audiences in a complex and changing environment, promoting change management, and required behavioral outcomes
  • Actively use collaboration platforms such as SharePoint Online, MS Teams, and MS Forms to promote two-way communication, including delivering messages and collecting feedback from diverse audiences
  • Actively create content for HR programs such as open enrolment materials, wellbeing resources, employee engagement and performance materials that is aligned with Hawaiian Airlines branding to be shared with broad (7,500+ employees) and targeted audiences
  • Manage various Outlook mailboxes and serve as the point of contact to assess, route, and/or troubleshoot inquiries or issues
  • Work closely with HR Leadership, Internal Corporate Communications, and key stakeholders to provide communication advice around the implementation of HR initiatives and programs


Minimum Requirements


  • Hawaiian Airlines is regulated by the Department of Transportation (DOT - regulation, 49 CFR part 40) and all applicants are advised that post-offer and/or pre-employment drug testing will be conducted to determine the presence of Marijuana, Cocaine, Opioids, PCP (Phencyclidine), and Amphetamine prior to any offer of employment or transfer into a safety-sensitive position. Failure to submit to testing or positive indications of drug use will render the applicant ineligible for employment with Hawaiian Airlines and any employment offer will be withdrawn.
  • Excellent problem-solving skills and ability to handle change and ambiguity
  • Excellent written and verbal communication skills, including copywriting and editorial experience, and the ability to understand and comply with brand guidelines
  • Demonstrated good judgment and confidentiality required
  • 2 or more years working with in communications, with specialized experience writing and producing newsletters and websites
  • Ability to prioritize and manage multiple tasks with minimal direction
  • Basic knowledge of graphic design, photography, and videography concepts
  • Ability to work closely with multiple levels of management
  • Ability to be resourceful, creative and maintain flexibility
  • Well-developed computer skills, including specialized skills in Outlook, PowerPoint, Excel, Word, SharePoint Online, MS Teams and MS Forms
  • Excellent time-management, organizational skills, and attention to detail
  • Ability to make decisions in accordance with established company policy]
  • Strong understanding of email marketing tools such as MailChimp and work management tools such as Asana
  • Bachelor’s degree in communications, journalism, public relations or related field or an equivalent combination of education and related working experience


Preferred Qualifications


  • Experience in supporting complex HR initiatives such as training, learning and development, performance management, engagement, compensation, and/or related field
  • Experience in dealing with busy management teams and having the ability to extract and communicate key messages from them
  • Previous airline or other service industry experience
  • Basic knowledge of Talent Development and/or Talent Management practices and programs.
