The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. Position Summary
The Senior Associate, Leasing Services will assist the Director of Leasing Services in managing the division’s Landlord/Tenant practice in collaboration with outside counsel. The Senior Associate will handle current Compliance issues for the division and pursue new compliance initiatives. The Senior Associate will develop best leasing and compliance practices for its Rent Stabilized and Rent Controlled population, with the objective of minimizing risk and achieving occupancy and revenue goals related to the Columbia Residential portfolio.
The Senior Associate will manage daily Landlord/Tenant matters with outside counsel, providing both background and strategy, as well as necessary tenant information including rent ledgers, original leases and renewals, and bringing issues to the attention of the Director as necessary. The Senior Associate will facilitate the execution of time-sensitive legal documents by the AVP and Director, ensuring that they are completed accurately and received by outside counsel. The Senior Associate will track all rent delinquencies in collaboration with the Office of the Controller for referral to outside counsel and draft relevant memoranda for senior staff. In collaboration with the Director, the Senior Associate will initiate holdover cases, including nonaffiliate, nuisance, nonprimary residence and illegal occupant actions, providing relevant case memoranda and weekly tracking.
The Senior Associate will be responsible for managing the RC50 compliance process and other pertinent compliance forms in collaboration with outside counsel and Residential Construction, ensuring the process is done accurately and completed in a timely manner. The Senior Associate will work with outside counsel to complete ongoing Compliance projects, including investigation and processing of Vacancy Decontrol docs and will initiate and/or collaborate on future Compliance projects. In partnership with the Director and outside counsel, the Senior Associate will provide updates and training regarding City and State rules /regs pertaining to Leasing for both rent regulated and exempt units in the Residential portfolio.
The Senior Associate will remain abreast of current and relevant Landlord/Tenant laws, fair housing laws, safety codes, HRA assistance programs, e.g. CityFHEPs, Section 8, SCRIE and applicable Columbia University policies and procedures and will have primary responsibility for completion of applications and follow up with pertinent agencies. The Senior Associate will serve as point person for referral of elderly or at-risk residents to Adult Protective Services, Mobile Crisis and other applicable agencies, tracking all follow up and working as necessary with the Res Ops staff, families and caseworkers to ensure that resolution of cases is achieved.
The Senior Associate will serve as primary contact for managing the division’s resolution of issues involving estates of deceased residents. The Senior Associate will remain abreast of City/State laws and regulations governing its statutory tenancies, as well as the University’s policies and procedures related to its affiliate housing - including retirement, succession and surrender issues. The Senior Associate must be able to work with due diligence yet care and sensitivity given the nature of the task, so that families feel supported, while ensuring apartments are recovered in a timely manner.
Minimum Qualifications
Bachelor's degree required; Advanced degree preferred.
Minimum of four years of relevant experience; experience in real estate management and/or in a legal office preferred.
The Senior Associate must have exceptional skills in a variety of associated areas including record keeping and privacy requirements. Paralegal experience in L/T matters is preferred. The Senior Associate is required to be fluent in Microsoft Office Suite (Word, PowerPoint, Excel) and Outlook. Experience with Adobe Acrobat and DocuSign preferred. Demonstrated technical and analytical skills and proficiency with lease management software systems is preferred. The Senior Associate must be organized, professional, friendly, enthusiastic and diligent. This position requires an individual with excellent interpersonal and communication skills. The ability to know or quickly learn laws governing residential leasing and living standards is required.
