The American Heart Association has an excellent opportunity for a Research and Grant Administrator in our National Center office located in Dallas, TX. The location for this position is flexible.


The Research and Grant Administrator will serve as the managerial lead for strategic and/or restricted research initiatives, including but not limited to strategically-focused research networks and health equity research networks funded by the Association. The Research and Grant Administrator will have a sufficient level of scientific training and science-related work experience to oversee Center/Network administration and communication activities, with a wide range of duties to ensure that the networks and other strategic research awards operate efficiently and effectively. This position has responsibility for stewarding volunteer Oversight Advisory Committees as the assigned primary staff resource, to develop and implement the direction, collaboration, and communications for working with Center directors, training directors, principal investigators and other key personnel within each Network. Additionally, this position works closely with Association science volunteers to develop documents such as executive summaries, reports, procedures, requests for applications (RFA) and other records as needed. Additional duties include: working with mission advancement staff to develop and produce proposals and reports for research initiatives, research grant program descriptions, development of website content and other communications.


A self starter, the incumbent must possess the ability to manage a multitude of ongoing administrative and financial tasks, as well as multi-task effectively to handle specific and unexpected issues that arise. Advanced and effective communication skills with all levels of the organization are essential, as is the ability to manage a large volume of information and ensure it moves through the proper channels. Strong financial skills are required, to produce and manage multi-million dollar budgets, review expenditures, and to project future costs. Experience working in a similar research environment is highly desired. Abilily to work with mission advancement staff and executive staff and volunteers to describe our research programs and support charitable gifts to the Association will be of paramount importance. A minimum of a Bachelor’s Degree is required, with a strong preference for a graduate-level degree in the sciences. This position requires a minimum of 3 years of relevant professional experience.


Responsibilities:

Essential Job Duties:

  • Manages communications among Network personnel, and serves as resource for program administration tasks. Works closely with the Center Directors, principal investigators, grants officers and fiscal officers at the funded institutions to ensure successful reporting, communications, and outcomes.
  • Serves as a liaison with other Association departments, including finance, legal, technology, and communications to ensure the research networks and restricted research programs are managed in compliance with Association policy and mission.
  • Develops content for applicant webinars and online training sessions for applicants and grants officers. Delivers presentations to groups on webinars and in-person meetings.
  • Responsible for planning science meetings, conferences, and webinars for assigned strategic award programs. In conjunction with meetings staff, coordinates logistics and works with meetings staff to secure contracts, and meetings plans. Directs the plans for research/business updates, including web site information and other written communication channels.
  • Manages focused research co-funding relationships —negotiates new ones and oversees existing ones (e.g., Doris Duke Charitable Foundation, and others as assigned). Provides ongoing management of relationships and identified awards. Matches available awards to sponsors’ interests.
  • Manages activities for various volunteer program committees, including primary staffing of committees as assigned. This includes network Oversight Advisory Committees, and other subcommittees, task forces, and working groups as assigned and required to execute programs.
  • Directs the Association budgeting process for center Networks and other focused research award programs. Administers financial information for Center awards and other focused research award programs, including analyzing and monitoring budgets, and auditing financial reports.
  • Directs the completion/wrap up of each awarded network, including (but not limited to) developing end-of- network publications. This includes working collaboratively with other staff (e.g., Outcomes manager) and other departments (e.g., design and content/news/editorial) to produce outcomes documents and reports for the American Heart Association Board of Directors and other key Association audiences. Manages the process of Center Directors planning and submitting their end-of-network publication to Association journals.
Qualifications:
  • Bachelor’s degree in a relevant scientific discipline
  • At least five (5) years experience in research administration and/or project management.
