ESSENTIAL FUNCTIONS and DUTIES
Primary Responsibilities
- Grant Accounting
o Responsible for the financial accounting and reporting for all local, state and federal grants in use by TJC.
o Monitor all grant activity for allowable transactions according to granting agency guidelines.
o Prepare journal entries to record matching expenses, indirect costs, and other transactions affecting grants.
o Prepare periodic reports for grants in use by TJC according to granting agency guidelines.
o Provide exceptional customer service to principal investigators and department administrators to establish grant budgets and coordinate training regarding financial policies and procedures.
o Develop annual budget for all restricted funds.
o Maintain records for restricted funds and prepare schedules, reports, and reconciliation documents for the annual audit.
o Establish internal controls to ensure compliance with granting agency requirements.
o Develop policies and procedures related to grant accounting and reporting for TJC.
o Assist the Controller with restricted fund audit schedule preparation.
o Develop proficiency in the use of financial accounting systems in use by TJC.
Secondary Responsibilities
- Payroll Services Support
o Under the direction of the Payroll Services Coordinator and the Controller, contribute to the execution of TJC’s periodic pay cycles.
o Collect timesheet data and related payroll information and enter into Banner payroll system in an accurate and timely manner.
o Calculate or verify overtime calculations, as requested, and verify accuracy of timesheet data through reasonableness and consistency reviews.
o Compare leave forms to timesheet data to ensure leave time is entered accurately.
o Process supplemental payrolls, as directed.
o Prepare and submit payroll file to bank within established timeframes, as directed.
o Develop proficiency in the use of the payroll software system in use by TJC.
o Maintain a high level of security and confidentiality of sensitive information.
o Calculate and submit federal taxes after payroll completion.

- Excellent oral and written communication, organizational, interpersonal and administration skills essential.
- Must be able to work independently and as part of a team, and be adaptable to changing job requirements and deadlines.
- Must be open to assisting other areas as needed within the Business Services office.
- Must have strong mathematical and numerical aptitude. Must be accurate and thorough.
- Demonstrate excellent oral, interpersonal and written communication skills and organizational and problem-solving skills.
- Possess excellent keyboarding/data entry skills.
- Ability to exercise sound judgment in prioritizing and time managing work and dealing with working professionally with all levels within TJC.
- Meticulous attention to detail is mandatory as is the ability to maintain the highest level of confidentiality.
- Ability to work well alone and also within a team environment.
- Ability to read and interpret policies, procedures, and guidelines.
- Effectively deal with multiple and changing priorities as well as demonstrate initiative; able to undertake prompt, appropriate action to correct any inaccuracies.
- Ability to meet tight deadlines and ensure accuracy with highly confidential information.
QUALIFICATIONS
Required
- Bachelor’s Degree in Business or related field is required, equivalent combination of education, training, and experience may be considered in lieu of degree requirement.
- Minimum of two years related experience required.
EXPECTATIONS
