OTD Grant Project Manager

Position Summary
The OTD Grant Project Manager at the University of the Incarnate Word is responsible for oversight and implementation of the US Department of Education grant, Promoting Mental Health Services in School-Based Settings, housed within the Doctor of Occupational Therapy (OTD) Program at 9160 Guilbeau Road, San Antonio, TX. The OTD Grant Project Manager provides support for day-to-day operations of the grant. The OTD Grant Project Manager will uphold the UIW mission, vision, strategic diversity priorities and ethical standards. The grant partners with the Our Lady of the Lake University (OLLU) School of Psychology and the Southside Independent School District and South San Antonio Independent School District. The focus of the grant is on improving mental health needs in the schools and preparing occupational therapy and psychology students, faculty, and other health professionals in trauma informed care within the public-school districts of San Antonio, Texas.
This is a grant funded position with anticipated funding for a period of five years. Position may be extended or shortened based on funds availability and departmental needs.
This position is considered a “Responsible Employee” under Title IX federal regulations and “Mandatory Reporter” under Texas state law and the UIW Sexual Misconduct Policy. As a Mandatory Reporter, this position requires you, as the employee, to promptly report any incident that you witness or receive information about Title IX violations. These reporting responsibilities are set out in the UIW Sexual Misconduct Policy.

  • Handles/routes telephone requests; orders/maintains office supplies; coordinates meetings and food services.
  • Organize the programs under the grant.
  • Prepares and maintains reports/correspondence for accrediting body and US Department of Education.
  • Ensure absolute priority of the grant is focus of all initiatives.
  • Oversee Pathways Program Specialist.
  • Performs data collection and administrative responsibilities related to grant activity.
  • Performs routine administrative support functions, including monitors Pathways Program Specialist budget line items.
  • Creating deliverables for the grant.
  • Must have a valid driver’s license and reliable transportation.
  • Order and manage use of supplies as aligned with grant budget.
  • Promotes a climate of diversity, equity and inclusion.
  • Track/document all activities in alignment with grant initiatives.
  • Develop procedures for gathering data for performance measures.
  • Review invoices and follow procedures for payment of contracts.
  • Communicate with entities and partners regarding grant initiatives.
  • Performs other activities as requested.
  • Develop timelines for grant objectives.
  • Attends program grant meetings and maintains grant documentation records.
  • Coordinates, with program faculty, other needs as requested.

  • Oversee and track grant budgets for the US Department of Education – Promoting Mental Health Services in School-Based Settings in the Doctor of Occupational Therapy Program.
  • Oversee purchasing for office supplies, grant materials, and other items needed for the grant administration.
  • Serve as primary liaison with UIW grants office for any needed reporting.

  • Oversee the integration and coordination of grant activities between University of the Incarnate Word (UIW) Occupational Therapy Program, Our Lady of the Lake University (OLLU) with the 2 San Antonio School Districts – SISD and SSAISD.
  • Participate in grant and contracting development process including design, submission, and review.

OTD Grand Report Manager

Description of Job Duties
  • Aggregate data from Pathway Program Specialist, faculty, fieldwork coordinator, capstone coordinator, teachers, and other contributors to the grant into refined reports to be submitted prior to deadlines in accordance with DOE contract.
  • Develop reports on program performance for Primary Investigator and assists with downloading reports into grant portal with high level of accuracy and detail.

  • Exceptional time management skills for oversight of grant.
  • Strong computer skills in common Microsoft Office products, Excel, Outlook, PowerPoint, Publisher, Adobe, etc.and other grant databases.

  • Effective communication skills, both written and verbal.
  • Excellent interpersonal skills and ability to work independently as well as on a team across cultures.

Required Education
Master’s degree in business or related health care field.

Required Work Experience
  • Data management and technology integration experience.
  • 3 years of effective grant or office management experience.
  • Grant administration and research experience.

Preferred Qualifications
  • Fluent in Spanish.
  • Experience with grant or contract management.

Required Certifications, Licenses or Registrations
Valid Texas Driver’s License with reliable transportation.

Work Hours
Typical Monday through Friday 8:00am to 5:00pm with occasional extended hours/weekends to meet departmental needs .
40 hours per week on a 12-month contract.

Physical Demands
  • Frequently requires walking, standing, and balancing.
  • Constantly requires sitting, repetitious finger and wrist movement, speaking clearly, hearing conversations, hearing (with acuity), seeing near and far with depth perception with color vision.
  • This position requires occasional climbing, stooping, crawling, lifting, pulling and pushing loads of 50 lbs., carrying and climbing, reaching both high and low.
  • Exerting 20-50 pounds of force occasionally, and /or 10 to 25 pounds of force frequently, and / or greater than negligible up to 10 pounds of force constantly to move objects are required.
