Job Summary
Responsible for handling receptionist and administration duties, including assisting customers in-person (walk-ins) and by phone. Handles general inquiries related to Financial Services operations and provides administrative and clerical support. Receives monies paid to the City by mail and over the counter. Work requires basic knowledge of City-wide departmental operations in order to answer questions, or direct calls. Performs under the general supervision of the Financial Services Manager and is reviewed through observation and results obtained.
Salary Range $16.90 - $26.20
- Receives, stamps in, and/or distributes incoming correspondence and deliveries, distributes in-house memos and supplies.
- Directs visitors by maintaining employee, department, and customer connection directories.
- Performs all other related work as assigned.
- Assist customers with information concerning parking tickets.
- Balance and close cash drawers and registers.
- Assists visitors by greeting them, answering or referring inquires.
- Receive and process payments.
- Answers and directs all incoming calls.
- Maintains security by following procedures; monitoring logbook; issuing visitor badges.
- Informs, advises, records, processes and follows up on all customer requests/complaints received by telephone, mail or in personal from citizens, agencies, City employees and or clients.
- Receive cash payments.
Education and Experience:
High School Diploma or equivalent and at least one (1) year of secretarial or clerical, and/or cashiering experience; or an equivalent combination of education, training and experience.
Knowledge, Skills and Abilities:
- Ability to handle multiple tasks and work well under pressure.
- Knowledge of word processing and spreadsheet related software.
- Knowledge of English, spelling, and basic mathematics.
- Ability to communicate and deal effectively with the public and other City employees.
- Skill in data entry and in the operation of standard office equipment such as computer, fax machine, photo copier and calculator.
- Knowledge of general office and billing procedures.
- Ability to use a telephone.
- Ability to acquire basic knowledge of a specialized area depending upon assignment.
- Knowledge of general office functions, procedures and equipment including filing and basic accounting.
Physical Demands
The physical demands of this position require effective talking, hearing, sitting, walking and standing functions; involves sedentary work where sitting is required most of the time; requires exerting up to 10 pounds of force occasionally and/or negligible amount to lift, carry, push, pull or otherwise move objects; occasionally may bend or stoop; must be able to perform activities with close visual acuity, such as reading a computer screen and reading print material
Work Environment
The worker is not substantially exposed to adverse environment conditions: job likely consists of typical office work or administrative work. The employee works in a relatively safe, secure, and stable work environment.
Hours of work
Work Hours: Monday – Friday 8:00am – 5:00pm
Emergency Management Responsibilities
Note: During emergency conditions, all City employees are automatically considered emergency service workers. City employees are subject to being called to work in the event of a disaster, such as hurricane, or other emergency situations and are expected to perform emergency service duties as assigned.
