We’re looking for a driven transaction coordinator to manage contracts throughout the entire home selling and buying process. You’d be responsible for overseeing transactions from start to finish to ensure offers and counteroffers are approved for a smooth and successful sale. Compensation:$44,000 - $48,000 yearly
Responsibilities:- Supervise all administrative duties for home buyer and seller transactions from contract to close
- Look over all paperwork to confirm they have the correct signatures and dates, assuring that the closing process has been done accurately and efficiently
- Help agents, customers, and other parties with all escrow paperwork, including appraisals, titles, and mortgage loans
- Coordinate home inspections negotiate prices for necessary repairs, and make sure each repair is completed
- Make sure the buyer’s offer and counteroffers get approved by the seller to ensure a smooth real estate sales process
- Enter client information into the client database system and submit appropriate documentation to the office broker for file compliance and keep track of transaction activity
- Arrange for and attend events regarding the closing process, including moving schedules
- Communicate with the agent several times throughout the transaction including all important dates, missing documents, calendar reminders, file compliance status, etc.
- Understand the contracts in order to summarize all important terms, conditions, and contingency dates
- Draft any addenda needed along the way and keep a record of them on file and ensure they are shared with relevant parties
- Upon a new transaction under contract, within 24 hours, contact the lender (by email), title companies (by email), co-op agent (by email) and Buyer/Seller (by phone and email) to introduce themselves as the Transaction Coordinator. Describe duties/roles and how they will support the transaction
- Stay in good communication with the agent if any issues arise that they need to handle or negotiate
- Communicate regularly with clients to send them reminders, check-in, and let them know what to expect in each step of the closing process. Touch base every week with every Buyer and Seller that is under contract to provide them a status update and allow them an opportunity to ask questions and to proactively address items needed to keep transactions on track and moving forward
- Notify client about utility accounts to set up/cancel before closing and again before occupancy of home, if appropriate
- Establish relationships with all third parties including lenders, inspectors, appraisers, and all agents in order to ensure a smooth closing process and share relevant information
- Create and maintain a digital file for all transactions i.e. ZipForms
- Review all title commitments and correspondence from the Title Company and forward to all parties as appropriate. Discuss title issues with the Agent
- Help organize and implement client appreciation events
- Perform other administrative duties as assigned
- Create timelines, set expectations and follow up with individuals as needed to ensure all deadlines are met and contingencies are released
- Be the leader & controller of the deal. Be direct, concise and prepared with any communications to the team
- Review all closing documents from the Title Company to ensure that each line item accurately reflects the terms of the contract. (i.e. commission, seller concessions, water escrow, administrative fees, rebates, etc.)
- Coordinate closing date, time, and location and notify all parties. Schedule closings on Agent calendars
- Act as Leader and be the primary point of contact between real estate agents, clients, attorneys, escrow companies, and mortgage brokers during the process of a real estate sale and effectively manage the administrative tasks involved in closing a sale
- Complete internal Broker process to ensure accurate payment to sales team members
- Follow up with clients after the sale to check in and request online reviews
- Service-based attitude
- Ability to juggle multiple clients and throughout the day
- Excellent at building rapport and proactive with problem-solving
- Strong written and verbal communication skills
- Exceptional organizational skills
- Background or knowledge of the real estate industry, transaction coordination, titles and mortgage preferred, but not required
- Strong computer skills, including Microsoft Office products
- Calm under pressure
