Job Description
OVERVIEW:
Reporting to the Multi-Site Application Development Site Director, the Program Manager position is a core component of the Year Up program. This position is responsible for leading and managing a virtual Learning Community comprised of approximately 30-60 young adults, a group of professional skills coaches, with the ultimate mission of providing high-quality service to the students in the community as they prepare for corporate internships and careers in Year Up-related job fields. Successful outcomes for this role include maintaining 85% retention during the Learning and Development phase and no more than 10% attrition in the internship phase, student satisfaction with the Program, and 75% positive outcomes 4 months after graduation.
The Program Manager will also be a critical partner to Corporate Engagement teammates in ensuring a successful internship experience for interns and employers alike. Effective service delivery during the internship program contributes to Year Up’s mission in several important ways, since intern performance and intern/supervisor satisfaction directly influence Year Up’s graduation rate, conversion from internship-to-employment, and the renewal/growth of our employer relationships.
Achieving success before, during, and at the conclusion of the internship phase depends on maintaining strong relationships with a variety of stakeholders, including students, internship supervisors, and Year Up colleagues across a range of functions. You will support a portfolio of interns and supervisors throughout the internship phase, including monitoring intern performance via bi-weekly communication with interns and supervisors, coordinating service recovery across internal and external stakeholders, and facilitating cyclical programmatic processes. In many ways, you serve as the “in-house expert” on the ingredients required for a successful internship experience and the “command center” that ensures other functions are playing their roles accordingly.
To be successful in this role, you will bring excellent communication, administrative, and management skills as well as the ability to interface with students, functional departments, and outside stakeholders as we work to achieve our mission. You will have experience working with internship programs that bridge educational and corporate environments. As an ideal candidate, you exude a spirit of customer service, demonstrate superb organizational skills, and take pride in your ability to bring clarity to ambiguous or complex situations. This position will work across functions and departments, as well as with all Learning Community members to help provide students with individualized support by addressing challenges and understanding when to leverage other resources.
The Program Manager will also interact with students as a professional skills coach, group facilitator, and advocate, participating in creating and sustaining a positive environment, with trust among students, faculty and staff.
The location for this position is flexible and open to candidates living in any of the states in which Year Up operates.

KEY RESPONSIBILITIES:

Drive Student Success
  • Drive the development and management of individualized student performance/professional development plans in coordination with aforementioned stakeholders to ensure student success
  • Collaborate with Student Services, Academic staff/instructors, Internship Services, Employment Placement, and all Learning Community members to identify and respond to student needs; ensure students receive high-quality services and individualized support
  • In our co-located college partnership channel (the Professional Training Corps), build and manage relationships with critical college faculty to align around student performance, academic excellence and ensure that the needs of both parties are met and drive a process to share information on an on-going basis
  • Balance serving students and ensuring the overall success of the Learning Community by making appropriate decisions that are both student-centered and in line with our Year Up’s mission, vision, and values
  • Manage, uphold, and track student contracts in a consistent manner to ensure timely and accurate student payment.
  • Work in collaboration with the Internship Services team to coordinate intern performance management
  • Serve as a role model by reflecting and maintaining Year Up culture and embodying our values and operating principles while preparing students for corporate internships
  • Work with the HIRING MANAGER to oversee student performance evaluation processes
  • Oversee student performance to ensure seamless transition from learning and development phase to the internship phase
Learning Community Management
  • Ensure all activities are planned, organized, and executed with high quality
  • Understand learning community-related data and synthesize/report out on trends (ex. contract, student performance)
  • Identify students and interns for events; track student involvement with onsite guests, help prepare students for donor/outreach meetings, graduation, etc.
  • Manage the day-to-day and annual operations of the Learning Community, including the calendar, and staff assignments/accountabilities
  • Collaborate with Development team on stewarding mentor relationships
  • Develop and maintain healthy and high functioning relationships with other functional areas of the organization that are critical to success in serving students
  • Plan and run new student orientation; in collaboration with the Admissions team, oversee student transition into the program, coordinate orientation activities and ensure that students become acquainted with resources, staff, and program expectations
  • Represent the Program Manager perspective when working with various functional areas at Year Up, including but not limited to Admissions, Corporate Engagement, and other partners.
Internship Preparation
  • Manage the planning of the bi-annual internship matching process and as necessary, align program and Corporate Engagement colleagues in gathering key information required for the process
  • Manage planning, logistics, and facilitation of internship readiness workshops with the Corporate Engagement team, as well as other functional staff, designed to build relationships with interns in your portfolio, including reviewing the internship contract and covering logistics with interns prior to internship start date
  • Drive internship on-boarding activities including necessary background checks, drug screens, and applications as well as coordinating the collection of internship information and manager orientation
  • In partnership with Corporate Engagement colleagues, drive a clear supervisor engagement plan for each account before the start of internship to ensure roles are clear
Internship Management
  • Uphold the ‘high service, high support, high expectations’ program model in interactions with all stakeholders
  • As appropriate and in partnership with Corporate Engagement colleagues, manage the planning and delivery of events designed to improve the supervisor experience (i.e. Corporate Partner Days/Roundtables)
  • Track, analyze and report out on performance status across the internship portfolio (based on ongoing feedback, supervisor/intern survey responses, and other performance data) and highlight key trends for consideration
  • Ensure the accurate, on-time completion of timesheets and status reports weekly in alignment with the online student contract.
  • Proactively ensure bi-weekly contact with interns and supervisors to monitor performance and satisfaction via phone, email, or in-person meetings; provide coaching where appropriate
  • Act as an escalation point to support and resolve “tier 1” issues and coordinate response to more significant issues by escalating to Program Managers, coaches, Student Services, and Corporate Engagement colleagues
  • Work in partnership with Program Managers to drive the development of performance improvement (EPIC) plans for interns, gathering feedback from interns and managers, and communicating closely with Corporate Engagement team
  • Resolve “tier 2” issues and coordinate response to more significant issues by escalating to Program Managers, coaches, Student Services, and Corporate Engagement colleagues
Internship Close-Out
  • When employers intend to make an employment offer to an intern, drive and track account-specific conversion processes and work with partner HR or staffing agencies to ensure interns complete paperwork/process as needed
  • Enter employment records in Salesforce for intern conversions
  • Ensure close communication with Employment Placement colleagues to ensure interns are factoring conversion opportunities into their overall job search
Learning Community Member
  • Serve as a coach for a small number of students
  • Participate in and sometimes facilitate weekly group sessions with students
  • Participate in staff meetings and trainings
QUALIFICATIONS:
  • Interest in working a fast-paced, dynamic, complex start-up and/or entrepreneurial environment

Salary range: $54,000-$72,000 (based on geographic location)
