If at this moment you are saying “YES! THAT’S ME!”, then let's make sure that the work itself sounds fun to you. Our company finds locations for photo shoots, commercials, and films. We scout the locations, catalog them in our library and book them for our clients.
Position Summary
This position’s primary role is to provide administrative support to our location managers. This position performs tasks that are required for the company to function efficiently, administers and tracks project-related information, and also completes necessary paperwork for photo and film shoots around Chicago. This position requires strong organization and communication skills, teamwork, physical endurance, and the ability to manage up. You should have an outgoing personality and comfort with navigating unknown situations. This is not a desk job. This is not a 9-5 job. This is not solely a Monday-Friday job.
Responsibilities and Duties
  • This is a crazy industry and last minute changes are the norm. You’ll have to juggle a lot and be comfortable with that
  • Submit permit paperwork for photo and film shoots according to city and municipal requirements and deadlines
  • Assemble, disassemble and reassemble the large and sometimes heavy location kits/bins that we use during shoots
  • Regularly sweep and launder the floor protection mats we use during shoots
  • Communicate with location owners
  • Special projects as assigned
  • Schedule scouting trips for the team and/or their clients
  • Drive around city and suburbs to visit municipal offices, distribute leaflets notifying neighbors of filming, and problem solve with strangers based on production needs
  • Order and maintain location kit and office supplies
  • Administrative support to company leadership (may not be locations/project related)
  • Archive project-related files as they are completed
  • Maintain and update photo/video shoot calendar
  • Maintain current information about known locations, update photo library and phonebook with newly scouted locations
  • Keep our supply storage unit neat and tidy
  • Deliver supplies to location managers as needed
  • Coordinate repair of any damage at locations that resulted from photo/video shoot activity
Qualifications
  • Two years office management or applicable experience
  • Willingness to ask for what you need to get the job done from both inside the company and out
  • Ability to manage multiple priorities simultaneously
  • Proficiency in Microsoft Office, Google Docs, and Dropbox; generally computer savvy
  • Ability to consistently stand and move throughout a location for many hours, including ascending/descending stairs
  • Ability to lift equipment weighing up to 50 pounds across long distances
  • 24/7 access to your vehicle and valid driver’s license
  • Not afraid to get dirty (literally) or to work outside in tough weather conditions
  • Chicago resident (or near suburbs such as Oak Park or Evanston)
  • Available to work on any given day of the week (the days we need you to be available can change from week to week)
  • Excellent verbal and written communication skills
  • Outgoing personality and comfort in dealing with unknown situations and encounters
  • A persuasive personality
  • Excellent organizational skills with incredibly strong attention to detail
Work Location
  • You'll be driving all over the Chicagoland area
  • The job is technically remote since we don't have a physical office but you still need to be in Chicago
  • Our storage unit is in Bucktown / West Lakeview and you'll be spending a lot of time there
  • Once a week the team gathers at a co-working space or one of our homes (usually in Chicago)
  • Some days you will be working from your home

  • The salary range for this position is $45,000-$50,000/year
