Job Description

Responsibilities:
  • Actively participates in the administrative community, executes various projects and tasks, and completes deliverables with little or no supervision.
  • Balances multiple projects end to end with varying deadlines, while maintaining executional and operational excellence. Understands and helps to implement Management Operating Systems in line with recognized patterns, and proactively acts on business cadence.
  • Aligns calendar based on knowledge of individual or managers' preferences and operating styles.
  • Understands the business operating system, key stakeholders, and interdependencies within the business and recognizes patterns.
  • Coordinate/assist with new hire onboarding.
  • Provides strategic calendar management and time planning support for the leaders, their direct reports, and other team members as directed within a business unit or function(s). within a business unit or function(s).
  • May manage multiple calendars: individuals or team.
  • Owns the coordination, logistics, and direction for events. Takes responsibility for event outcomes Leads by example and serves as a role model to administrative colleagues by maintaining a positive attitude, demonstrating business-appropriate presence, influencing others, and encouraging self-reflection during challenging situations.
  • Demonstrates advanced tactical proficiency
  • Generally expected to support departmental team members, and managers (up to L6)
  • Provides support to the team and managers for the strategic initiatives and development of best practices at the department level.
  • Helps provide onboarding support for new employees, vendors, and interns, under the direction of senior team members (e.g., ordering new hire equipment, setting up workstations, distribution lists, security groups).
  • May reconcile expenses for multiple people.
  • Exercise good judgment while maintaining a realistic balance among multiple priorities.
  • Develops and maintains strong relationships with stakeholders across multiple organizations (e.g., administrative professionals, Human Resources [HR], Finance, event planners, peers) to successfully support their leadership team's work.
  • Proficient oral and written communication skills, interpersonal skills, and high customer service capabilities and delivery
  • Schedule team meetings including room reservations, drafting an agenda, and providing necessary documentation for the meeting(s).
  • Work closely and effectively with management to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Managing competing priorities with tact and discretion
  • Works closely with team to follow through on work to a conclusion with minimal to no supervision.
  • Proven ability to handle confidential information with discretion
  • Knowledge, Skills, & Abilities (KSAs)
  • Helps to prepare meeting settings (e.g., booking rooms, troubleshooting virtual settings, and catering).
  • May manage community space/conference room calendars.
  • Maintains up-to-date space management processes and team spaces (e.g., office locations/desk assignments, private conference rooms, seasonally transitional spaces, remote/location status), with guidance.
  • May book travel for individuals or members of a team Provides travel arrangements using online tools (e.g., accommodations, transportation, security, group codes) for manager(s) and/or group.
  • Provides continuous support for company events.
  • Ability to shift work/priorities with ease.
  • Provide excellent customer service, including greeting and announcing clients, applicants, and visitors.
Qualifications:
  • Ability to earn trust, maintain positive and professional relationships, and contribute to a culture of inclusion
  • 2-5 years of administrative experience
  • Must be a U.S. citizen or national, U.S. permanent resident (current Green Card holder), or lawfully admitted into the U.S. as a refugee or granted asylum.
  • Intermediate skills in MSOffice (Outlook, Word, Excel, and PowerPoint)
  • High school diploma or equivalent required.
