About the Position
Under the direction of the Public Works Director or designee, the incumbent will perform a variety of complex administrative support and office coordination tasks to assure smooth, timely and efficient operations for the Public Works Department; type and process records, reports, memos and correspondence; process purchase requisitions, orders, invoices, budget documents and other information related to department operations and programs. The incumbent will also be responsible for performing reception duties, receiving and directing calls, and processing mail for the City.

Representative Duties

Some of the position responsibilities are:

  • Update and maintain a variety of department electronic records (spreadsheets, databases, department website, web-based programs) as well as an extensive filing and records keeping system for general files and construction projects.
  • Plan and perform complex administrative support and office coordination duties; maintain a comprehensive knowledge of program operations, projects, policies and procedures, systems, and staff assignments.
  • Assist in the maintenance of the City’s ClickNRequest Program (a web-based and phone app citizen request system); assign requests to the appropriate department or staff; help respond to a variety of citizen requests.
  • Perform customer service and receptionist activities: receive and direct calls for all departments; interact with visitors in-person and provide direction; administer guest badging procedure.

Required Education and Experience

  • Proficient with Microsoft Office suites like, Word, Excel, Outlook, and PowerPoint.
  • Two (2) years of office clerical experience with an emphasis on customer service required.
  • High School Diploma or GED.
OR
  • A combination of education, training and experience that provides the candidate with the knowledge, skills, and abilities to perform the job.

Licenses and Other Requirements

  • Valid Washington State Driver’s License required by date of appointment.
  • A satisfactory three-year driving abstract record, submitted prior to hire.
  • College level coursework in business administration or related field preferred.

Deferred Compensation:
Employees have the option of contributing to an MissionSquare 457 plan.
