The Administrative Assistant II position provides administrative and project support to all Housing and Family Services programs. Performs general clerical duties in accordance with office procedures of the agency; may include a combination of answering telephones, greeting clients, data entry, word processing, office machine operation, filing and monthly, quarterly, and year-end reports. Position may from time to time be stressful and require a high demand of performance. May complete other duties as assigned.


Essential Functions


  • Assists with the planning, organization, and/or implementation of program-related activities and agency-wide events
  • Performs other related tasks such as organizing and duplicating materials, filing, editing documents/presentations, report writing, and opening/purging of client case files
  • Performs data entry of client case files into HUD-approved web-based systems
  • Assists with data collection and may be responsible for creating and/or maintaining databases
  • Answers phones, responds to inquiries, and triages calls to appropriate staff
  • May drive agency or personal vehicle on company business
  • Provides administrative and clerical support to Housing Family Services programs, including Housing and Urban Development (HUD)-funded initiatives
  • Conducts intake assessments with prospective clients and assists clients with initial paperwork

Minimum Qualifications


Suitable work experience may be considered as transferable skills in order to meet minimum requirements of the position and will be considered by the Corporate Director of Human Resources.

Role And Responsibilities


The Installer's responsibilities include, but may not be limited to,


  • Conduct self at all times in a way that promotes a positive image of the Swanton Welding and follows the code of conduct
  • Plans details of work order procedures; gathers required tools and materials based on instructions and specifications provided for the job.
  • Respect and protect Swanton Welding's and third party's property (tools, vehicles, facilities, equipment) and business activities
  • Follows safety protocol, including wearing heat resistant gloves, flame resistant (FR) clothing, protective masks, and safety toed footwear.
  • Performs other duties as assigned by the Shop Supervisor
  • Visually inspect quality and use other quality inspection equipment to confirm compliance to part specifications.
  • Operates drills, air tools, power tools and cranes to install truck beds and axles.
  • Understand the safety features of the machines and tooling to ensure they are operating without compromise to safety systems.
  • Maintains, organizes, and cleans equipment and work area
  • Ability to read blue prints and understand a set of work instructions.


Qualifications And Education Requirements


  • Strong mechanical abilities
  • Fast learner and able to adapt in a fast-paced environment
  • Knowledge on how to operate drills, air tools, power tools and cranes.
  • Positive attitude and willingness to learn
  • A work history that supports a good to excellent attendance record
  • High school diploma or equivalent
  • Welding experience desired
  • Detail oriented approach to daily work activities
  • A work history of compliance to safety, quality, and productivity standards
  • Experience working with wrenches and impact tools (i.e. auto mechanic skills)
  • Ability to read a tape measure and understand mathematical calculations (add, subtract, multiply, divide, fractions).
  • Able to work well in a team-oriented work environment
  • Experience working with cars, trucks or semis


Preferred Skills


  • Ability to read, interpret and understand Work Orders.
  • At least 2 years' of mechanical experience

  • Temperatures (Occasionally)
  • Lifting, Carrying up to 50 pounds (Occasionally)


Additional Notes


  • May require overtime with little notice before or after normal work hours or weekends.
