Position Overview

The Department of Human Services is seeking to hire an administrative assistant to provide administrative support to the Firearm Violence Prevention Senior Policy Advisor in the execution of operating policies, procedures, and protocols. This position conducts extensive research, gathers information, and independently performs confidential projects for the Firearm Violence Prevention Senior Policy Advisor that are complex in nature; assists the Firearm Violence Prevention Senior Policy Advisor in reviewing and evaluating functions and procedures for effectiveness and efficiency; creates, populates, and maintains formal trackers to record Firearm Violence Prevention Senior Policy Advisor assignments along with incoming and outgoing correspondence for the Director Firearm Violence Prevention Senior Policy Advisor; and assists in managing highly sensitive information that includes financial information (e.g., budgets and salaries), personnel, and other Office issues.

Job Responsibilities

  • Assists the Firearm Violence Prevention Senior Policy Advisor in reviewing and evaluating functions and procedures for effectiveness and efficiency.
  • Assists in managing highly sensitive information that includes financial information (e.g., budgets and salaries), personnel, and other Office issues.
  • Serves as administrative support to the Firearm Violence Prevention Senior Policy Advisor in the execution of operating policies, procedures, and protocols.
  • Creates, populates, and maintains formal trackers to record Firearm Violence Prevention Senior Policy Advisor assignments along with incoming and outgoing correspondence for the Firearm Violence Prevention Senior Policy Advisor.
  • Performs other duties as required or assigned, which are reasonably within the scope of the duties enumerated above.
  • Conducts extensive research, gathers information, and independently performs confidential projects for the Firearm Violence Prevention Senior Policy Advisor that are complex in nature.

Minimum Qualifications

  • Requires two (2) years of professional experience in a public or private organization.
  • Requires knowledge, skill, and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration.

Preferred Qualifications

  • Two (2) years of professional experience performing liaison work as a representative of the office director to discuss and/or interpret programs and procedures for the general-public and/or other internal/external entities.
  • Two (2) years of professional experience in computer software such as Microsoft Office Suite.
  • Two (2) years of professional experience efficiently tracking status and/or completion of assignments across the office to ensure such assignments are thorough and completed within designated time frames.
  • Two (2) years of professional experience functioning as a confidential assistant in matters relating to personnel, payroll, client/patient information, program policy or legal/legislative matters.
  • Three (3) years of professional experience meeting deadlines with strong attention to detail and to utilize critical thinking skills.
  • Two (2) years of professional experience communicating effectively (written and orally) and making recommendations that lead to greater efficiencies and effectiveness within the office and corresponding units.

Conditions of Employment

  • Requires basic proficiency in the use of graphs, and/or charts.
