Overview
Are you a detail-oriented professional looking to take your career to the next level? We are seeking an enthusiastic and organized Office Assistant / Project Coordinator to join our team. In this role, you will work closely with our project manager and on-site team to provide remote support and maintain accurate project documentation across a range of inspection, maintenance, and repair projects. This position offers the flexibility of up to 2 remote workdays per week and provides opportunities for career advancement.
Role and Responsibilities
As an Office Assistant / Project Coordinator, your primary responsibilities will include:
Collaborating closely with the assistant project manager and on-site team to ensure accurate project documentation.
Reviewing, updating, and color coding drawings in PDF format.
Conducting data entry, review, and reconciliation in accordance with established guidelines.
Delivering accurate and comprehensive documentation for customer reporting.
Maintaining professional and timely communication with colleagues, customers, and AFG management.
Job Requirements & Qualifications
To succeed in this role, you should have:
Proficiency in computer software, including Microsoft Word & Excel, email, and Adobe Acrobat.
Efficiency in using smartphones, tablets, computers, and selected applications for daily reporting.
The ability to read, follow, and edit/label Life Safety Plans/Drawings.
Demonstrated capability to follow inspection methods and procedures, identifying and recording deficiencies.
Experience in customer service and interacting with the public and customers.
Self-motivation and the ability to work independently and efficiently.
Strong verbal and written communication skills.
A professional appearance with consistent on-time arrival at office and job sites.
Willingness to travel (up to 10%, within 30+ miles).
Additional Requirements
Must be at least 18 years of age.
A valid driver's license is preferred.
Successful completion of a criminal background check and required inoculations (Flu, Covid-19, hepatitis, TB, or others as needed).
Physical Demands and Work Environment
Office setting with the option for remote work 2-3 days per week.
The role may require physical activities such as standing, walking, sitting, using hands, reaching, climbing stairs & ladders, balancing, stooping, kneeling, crouching, or crawling, as well as talking and hearing.
Occasional use of ladders to access assets.
Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
Must be able to occasionally lift and/or move up to 50 pounds.
Willingness to work extended hours when required, including evenings and weekends (compensation provided).
