The Illinois Department of Revenue, Office of Internal Affairs, is looking to hire a highly motivated individual to work as an Office Assistant. The position is responsible for utilizing a personal computer and various software applications in order to correspond and schedule appointments. The Office Assistant maintains files and records and also assists with the employee clearance process serving as a backup by fingerprinting potential employees, vendors and contractors. The ideal candidate is an individual who can multi-task, prioritize daily duties and appropriately handle confidential information.

Job Responsibilities
- Follows oral and written instructions on the use of evolving automated office equipment to gain experience and knowledge.
- Assists staff with compiling and preparing reports for submission to the Internal Affairs Chief, e.g., monthly activities of the office, hours spent conducting interviews, etc.
- Under general supervision, keyboards a variety of difficult materials including forms, correspondence, records and memorandums utilizing a personal computer and various software applications and requiring a knowledge of commonly used and specialized legal and investigative terminology.
- Performs other duties as required or assigned, which are reasonably within the scope of duties enumerated above.
- Serves as back-up to the Administrative Assistant office receptionist.
- Assists and serves as back-up to the Administrative Assistant in conducting criminal history background checks on applicants for employment within the Department of Revenue, including contractor and vendor employees and fingerprinting.
- Maintains, retrieves and updates hard copy and automated files or records for Chief of Internal Affairs and staff using established procedures and/or coding schemes.
- Maintains office equipment by performing routing maintenance duties such as replacing toner cartridges, fixing paper jams, etc. to keep equipment in working order.
Minimum Qualifications
- Requires ability to keyboard accurately at 35 words per minute.
- Requires knowledge, skill and mental development equivalent to completion of high school.
- Requires one year of related office experience.
Conditions of Employment
- Requires the ability to use and secure a state issued mobile device, e.g., cellular phone, laptop computer, tablet, etc.
- Requires the ability to successfully complete a tax compliance and fingerprint-based background check.
