Job Description
We are currently seeking a highly motivated and driven Office Assistant for Real Property Management North Puget Sound. The Office Assistant is an entry level position and will responsible for supporting business operations through administrative tasks, as well as providing courteous and professional direct interaction with prospective and current property owners and tenants. This position is often the face of Real Property Management North Puget Sound and requires candidate to be friendly and outgoing while maintaining the utmost professionalism.Responsibilities
  • Preparation of Tenant 10 Day notice to comply or vacate, 14 day pay or vacate, payment plan notices, ERPP (eviction resolution pilot program) notices and serving/posting/mailing said notices.
  • Assistant for Office Manager
  • Coordinate 10 Day compliance checks with maintenance team.
  • HOA Notice Compliance process handled
  • Scanning, filing and organizing files.
  • Accepting and signing in keys.
  • Document all renter's insurance policies on applfolio tenant page.
  • Attorney follow-up and 14 Day Pay or Vacate notices.
  • Assist Office Manager with any requested tasks
  • Reaching out to owners, tenants, vendors to collect outstanding balances.
  • Assist in Accounts/Payable & Accounts/Receivable
  • Cheerfully answer all phone calls and transfer to corresponding department
  • Maintain a tracking form for all notices and follow-up and make sure they are compliant or not.
  • Rental History Verification for Tenants
  • Communicate with tenants that have renter's insurance that is outdated and get current info
  • Other duties as assigned
  • Provide support for the office
  • Manage office supplies inventory
  • Renter's Insurance Compliance
  • Efficiently Communicate with Team Members, Owners, Tenants and Vendors
  • When requested from other rental companies this role is responsible for completing any the rental history/landlord verification form requests for previous or current tenancies.
  • Answer office doors in a professional courteous manner always (have guests wait in lobby while you inform team member their guest is here.)
  • Preparation of Tenant Compliance Notices
  • Ensure that all tenants have active renter's insurance.
  • Calling owners, tenants, vendors, team members about issues.
  • Send signed copy of ERPP Notices to the ERPP
  • Enter credits or debits on Appfolio.
  • Maintain the prospective tenant database
Qualifications
  • Highly organized with strong time management skills
  • 0-1 years’ related experience
  • Excellent written and verbal communication skills
  • Detail oriented
  • Must be dependable and able to work in a fast-paced environment
  • Ability to work cooperatively and collaboratively with all levels of employees and management
  • Proficient in Google Business Suite and Word
  • Naturally driven to provide excellent customer service
  • Exceptional interpersonal skills
