Job Description
We are looking for a competent Junior Administrative Assistant for our Operations department to provide secretarial and administrative support in a well-organized timely manner. You will work in a team environment on a variety of tasks related to operations and communications. The ideal candidate will have excellent problem solving and critical thinking skills, ability to multitask, and be highly proficient with Microsoft Excel, PowerPoint and time management, and thrive under pressure.

Responsibilities


  • Prioritizes conflicting needs by handling matters expeditiously, efficiently, and follows-through on projects to successful completion, often with deadline pressures.
  • Provides support to validate monthly end of month reports for the Operations Department
  • Works closely and effectively with the CEO's SEA and COO's EA to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Having a sense for the issues taking place in the environment and keeping the CEO's SEA and COO's EA updated.
  • Provides a bridge for smooth communication between the CEO and COO's office and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management staff.
  • Assist in managing multiple highly active calendars of appointments, review and processing of expense reports, and composing and preparing correspondence that is sometimes confidential. They will be responsible for arranging complex and detailed travel plans, itineraries, and agendas, and compiling documents for travel-related meetings.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO and COO, including those of a sensitive or confidential nature. Contributes appropriate course of action, referral, or response.
  • Support completion of critical tasks with a proactive mindset, accompanied with a hands-on approach to update and create trackers, spreadsheets, meeting agendas, meeting minutes, and managing other daily tasks that facilitate the COO's ability to effectively lead the company.
  • Completes a broad variety of administrative tasks in support to the CEO's Senior Executive Assistant (SEA) & Executive Assistant (EA) to the COO.
  • Act as a "liaison" for the staff to build relationships crucial to the success of the organization and manages a variety of special projects for the CEO and COO, some of which may have organizational impact.
  • Facilitate with communication with corporate staff and Executives on behalf of the CEO and COO as directed be COO's EA and CEO's SEA.


Qualifications


  • High School Diploma or GED required.
  • Capacity to work in a team environment.
  • Exceptional Organizational skills
  • Strong customer-service orientation.
  • Capability to multi-task and consistently meet multiple deadlines.
  • Associate degree preferred.
  • Exceptional Excel and PowerPoint applicable knowledge.
  • Ability to use good judgment.
  • High level of written and verbal communication skills
