Job Description

Clayton Services is searching for an Administrative Operations Manager to join a thriving company in West Houston. The Administrative Operations Manager will oversee and ensure smooth office operations, financial analysis, systems development, disaster recovery planning, vendor management, tax filings, training, and consultation on staff-related decisions.


Job Type: Direct-Hire

Pay Rate: $100,000- $110,000 with bonus opportunity

Administrative Operations Manager Responsibilities:


  • Preparing and submitting annual property tax filings and auditing payroll tax payments.
  • Ensuring smooth office operations and protocols.
  • Supervising payroll and benefits management.
  • Renew vendor agreements, insurance policies, and rental agreements.
  • Coordinating Disaster Recovery Plan (DRP) for natural disasters/inclement weather.
  • Negotiating and liaising with service companies for projects.
  • Creating and implementing systems, policies, and procedures.
  • Identifying and addressing problem areas through strategic solutions.
  • Lead cybersecurity training and awareness initiatives for employees.
  • Conducting orientation and training for new hires.
  • Collaborating with IT vendors to ensure data security, network access, and backup systems.
  • Consulting with the management team on staff-related decisions.
  • Managing administrative responsibilities for SEC compliance.
  • Analyzing company financials for management review.


Administrative Operations Manager Skills and Abilities:


  • Strong problem-solving and analytical skills.
  • Strong computer skills, including Microsoft Office applications (Word, Excel, Outlook, and PowerPoint).
  • Attention to detail and ability to identify missing or conflicting information.
  • Proficiency with QuickBooks or similar bookkeeping software.
  • Familiarity with Microsoft Access database software is a plus.
  • Ability to multitask and manage several tasks simultaneously with varying deadlines.
  • Ability to work independently and as part of a team.
  • Ability to identify and implement business process improvements.
  • Excellent verbal and written communication skills.
  • Ability to diagnose operational issues and analyze root causes.


Administrative Operations Manager Education and Experience:

  • Project management and strategic planning experience, including evaluation, execution, and implementation of projects.
  • Bachelor's degree is highly preferred.
  • 5+ years of operations/administration/HR experience (preferably within the financial planning industry).
