Human Resources Assistant
The Human Resources Assistant for Western States Fire Protection works under the general supervision and guidance of the Human Resources Manager. The HR Assistant is responsible for the daily administrative functions of the HR department, which includes administrative support to the HR Manager and HR Specialist, while always providing a high level of customer service to all employees and branch managers. The HR Assistant will also assist the safety team with injury paperwork and tracking. This position will be located in our Corporate Office.
This is not a remote position.
The hourly rate for this position is $21-25/hour, depending on experience.
Job Responsibilities
o Provide support to the Human Resources Manager, Executive Team, Accounting and Payroll department as needed
o Responsible for responding to and tracking all Company unemployment claims, employment verification's, and employee referrals
o Prepare annual reports required under OFCCP and EEOC (Vets 4212, EEO-1, other state mandated reporting, etc. )
o Ensure all offices have the required federal and state employment law posters (order new ones annually)
o Prepare weekly, monthly, and quarterly employee statistical reports
o Update and Maintain employee files, the employee handbook, and the HR department Sharepoint page
o Assist with questions relating to the company Learning Management System (LMS)
o Approve and register employees for in person courses
o Assign annual compliance and ethics trainings
o Manage new hire safety training requirements
o Name and file all paperwork associated with employee injuries; follow up on missing paperwork
o Update the corporate OSHA log (monthly) and file the company OSHA 300 reports (annually)
o Assist the safety team with updating documents and processes, as needed
o Assist with exit interviews, as needed
o Assist with facilitating the monthly Office Manager/Corporate meeting, as needed
o Perform other HR-related duties and assist with special projects as assigned
Job Qualifications
o Two years of Human Resources or other related administrative experience is preferred
o Bachelor’s degree, preferably in Human Resources, or another related discipline is preferred
o An interest and passion for learning Human Resources functions
o Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
o Detail-oriented and able to handle a high volume of work in a fast-paced environment
o Possess effective communication skills with the ability to interact with employees and vendors in a professional manner
o Willing to multi-task and set priorities
o Able to maintain confidentiality and exercise discretion
o Willing to pass a post-offer drug test, reference and background check
