Hospitality Inventory Coordinator Jobs

Position Purpose

Under minimal supervision, the Inventory Coordinator is responsible for strategically managing Hospitality Inventory in a dynamic DTC environment. This role will devise effective strategies for finished goods and materials inventory, to maximize efficiency and sales. It will primarily support the onsite tasting room, with secondary support across pool operations, events, warehousing, food & beverage, and other departments within the company. This role is responsible for reviewing accuracy of transactions, storage locations, case inventory, materials inventory and sales depletions. This role will collaborate and communicate with DTC and Hospitality leaders, compliance, quality control, distribution, special services, winemaking, and customer service.

Functional Responsibility

Essential Duties

• Produces and maintains various inventory and shipping reports and summarizes results
• Identifies, communicates and troubleshoots reconciliation of inventory variances and adjustments, in a timely manner
• Accurately processes transactions on register system of wine and non-wine retail products, wrapping of merchandise, processing forms for shipment of wine and non-wine retail products
• Partners with Visual Department and Hospitality Management for promotions, floor display, and product depletions to maximize sales opportunities
• Manages, orders, coordinates and strategically plans all wine and non-wine product for the Tasting Room
• Operates a forklift, pallet-jack, hand cart, and other tools for dock delivery pickups [shipping/receiving], Rustic and FCW wine and non-wine deliveries; and Events/Visuals item movement across property
• Makes improvement recommendations and implements solutions that support production / business strategies that support internal and external customers
• Make recommendations and apply streamlined inventory operations, with a focus on minimizing shrinkage, enhancing purchasing experience for guests, and efficiency for execution for staff
• Reviews and verifies outbound and inbound documentation to ensure transactional accuracy
• Coordinates with Leadership, Planners and Winemaking on inventory holds/releases, vintage releases and ensures inventory determinations are carried out
• Maintains necessary files and documentation
• Performs necessary functions for scheduled and unscheduled inventory cycle counts
• Assists with Events/Experiences, including inventory management, set up and breakdown
• Other duties may be assigned
• Communicates cost center spend and provides detail of variations to monthly budget
• Supports Hospitality Operations in customer service inquiries, including follow-up for special requests, resolving customer service challenges, and replacing wine & merchandise for guests as needed
• Coordinates Tasting Room Experience Menus with a focus on depletion and sale
• Makes transfers of materials and finished goods between Delicato Family Wines (DFW) locations in accordance with guidelines as required
• Manages and coordinates inventory for Club and Special Projects, including receiving, stocking, transfers, shipping and break downs
• Communicates with internal and external suppliers / customers to coordinate material deliveries as appropriate
• Supports DTC and Hospitality operations with proactively coordinating inventory, including vintage changes, movement, strategic forecast of sell-through rates, and maintains appropriate stock of product
• Adheres to established company policies and procedures regarding the handling and service of alcoholic beverages, ABC regulation and Inter-State shipping regulations
• Assists with project implementation and special projects as assigned
• Works in a hospitality role as needed, creating memorable experience for all guests who enter the property

Minimum Requirements

Education and Experience

• 2+ years of related experience; preferred in an inventory or logistics role
• High School Diploma or equivalent.

Certificates and Licenses

• Forklift certification - required and provided by company
• Food Handler Certification - required and provided by company
• Driver’s License
• Responsible Beverage Training - required and provided by company

Knowledge, Skills, And Abilities

• Experience involving customer contact, problem resolution, and related product knowledge
• Must be able to plan, communicate, and organize multiple priorities
• Requires excellent communication, negotiation, and organizational skills

Working Conditions

• Indoor and outdoor environment with exposure to the elements/temperature variations
• Occasionally may be required to lift and carry cases of wine
• General winery environment with occasional travel
• Required to wear PPE (Personal Protective Equipment)
• Exposure to varying levels of dust, chemicals, fumes, gases, and noisy equipment
• Required to drive automotive vehicle or equipment
• Work in close quarters or confined spaces
• Exposure to weather-related temperature & humidity extremes
• Shift Rotation

California Pay Transparency Disclaimer: This is a Non-Exempt position. The pay range for this position is $22.67 to $35.49.

Actual placement within range will be contingent upon a number of factors, including but not limited to the candidate's qualifications, education, experience, internal equity and alignment with market data.
