KEY FUNCTIONS
Invoicing and Payments
- Systematically reviews projects for the submission of internal payment milestone invoices, or invoice-able charges which are not formally budgeted.
- Monitors Services with other departments such as Pathology, Radiology, CTRC as well as internal collaborators such as the Leukemia Clinical Research Services (LCRS) as it relates to the original study budget.
- Collaborates with study managers, data managers and principal investigators in identifying payment milestones associated with clinical trial projects, identifies non-patient care research funded services, and develops budgets for private industry. Performs monthly audits of active contracts to monitor payment activity. Works with Leukemia data coordinators and research nurses to collect appropriate backup and prepares invoices. Forwards invoices to Grants and Contracts to obtain Lawson number and proceeds to forward invoices to Sponsors.
Reconciliation and Account Management
- Represent department in a professional and appropriate manner within institution, as well as externally
- Oversee organization and maintenance of departmental files relating to fiscal and budgetary responsibilities and reports
- Assist with any departmental needs as required, to include special financial and research reports
- Performs monthly reconciliation and reporting of departmental funds according to institutional and departmental policies.
- Prepare a monthly statement of operations and analysis of expenditures.
- Perform reconciliation to ensure that salary adjustments have accurately posted to the General Ledger.
- Interacts with all levels of personnel within the department, other institutional departments, as well as outside companies to resolve problems/errors or questions regarding basic accounting reconciliation items.
- Other duties as required.
- Assists with financial reporting for philanthropic and grant funds as necessary for progress reports.
- Assures that institutional processing departments are notified of any discrepancies and necessary adjustments are made. Follows up on all discrepancies and adjustments to ensure that corrections are posted to the appropriate company center.
Communication and Education
- Ensure that documents meet the needs of the audience.
- Educate department staff about institutional procedures, guidelines and policies related to the finances of the department and institution.
- Develops and maintains professional working relationships.
- Assures that faculty are provided assistance in the expenditure of funds available to them through the dissemination of information and guidelines of the various awarding agencies. Provides ongoing information concerning changes in federal policy, institutional, and divisional initiatives to relevant department staff and grant investigators.
- Assures that monthly financial reports are provided to the faculty to include account balances and salary projections for their respective funds.
