- Project Support Assist the CEO in planning, organizing, and executing various projects, initiatives, and presentations. Coordinate with cross-functional teams to ensure smooth project implementation.
- Special Assignments Handle ad-hoc projects and assignments as directed by the CEO, demonstrating flexibility and willingness to take on new responsibilities.
- Office Management Oversee administrative functions, including maintaining office supplies, managing vendor relationships, and coordinating facilities maintenance as needed.
- Relationship Management Build and maintain effective relationships with internal and external stakeholders, including clients, partners, and board members. Coordinate meetings, events, and functions.
- Travel Arrangements Plan and arrange domestic and international travel itineraries, including flights, accommodations, and transportation. Prepare detailed travel packets and manage expense reports.
- Communication and Correspondence Manage incoming communications, including emails, phone calls, and inquiries, and respond on behalf of the CEO when appropriate. Draft, proofread, and edit various documents, presentations, and reports.
- Confidentiality and Discretion Handle sensitive and confidential information with the utmost discretion. Maintain the highest level of professionalism and integrity in all interactions and communications.
- Meeting Support Prepare meeting agendas, attend and record minutes during executive meetings, and distribute meeting materials as necessary. Follow up on action items and ensure timely completion.
- Research and Analysis Conduct research and gather relevant information on industry trends, competitors, and potential business opportunities. Summarize findings and provide insightful reports to the CEO.
- Calendar and Schedule Management Coordinate and manage the CEO's complex calendar, scheduling appointments, meetings, and travel arrangements efficiently. Prioritize and handle conflicting demands to ensure the CEO's schedule is optimized.
- Knowledge of the energy industry or technology sector is a plus.
- Discretion and professionalism in handling confidential information.
- Exceptional organizational and multitasking abilities with keen attention to detail.
- Strong problem-solving skills and ability to work independently, prioritizing tasks effectively.
- Flexibility to work outside regular business hours when necessary.
- Proven experience as an Executive Assistant or similar role, preferably supporting C-level executives.
- Strong written and verbal communication skills, including excellent editing and proofreading abilities.
- Bachelor's degree in business administration or a related field is preferred.
- Proficient in using productivity tools and software, such as Microsoft Office Suite and calendar management applications.
