Job Description

Position Summary:

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will be a detail-oriented professional with exceptional communication and multitasking skills. As an Executive Assistant, you will play a crucial role in ensuring the efficient operation of our executive's office and contribute to the overall success of our organization.

Key Responsibilities:

  1. Calendar Management:
  • Maintain and organize the executive's schedule, including arranging meetings, appointments, and travel arrangements.
  • Prioritize and manage conflicting appointments effectively.
  1. Communication:
  • Act as the primary point of contact between the executive and internal/external stakeholders.
  • Draft, edit, and proofread correspondence, reports, and presentations.
  1. Travel Coordination:
  • Arrange travel itineraries, accommodations, and transportation for the executive and their team as needed.
  1. Meeting Support:
  • Coordinate logistics for meetings, conferences, and special events.
  • Prepare agendas, materials, and minutes for meetings.
  1. Document Management:
  • Handle confidential information with discretion and professionalism.
  • Organize and maintain electronic and physical files, ensuring easy retrieval of information.
  1. Expense Management:
  • Process and track expenses, ensuring accuracy and compliance with company policies.
  1. Project Assistance:
  • Conduct research and gather data to support decision-making.
  • Assist in various projects and initiatives as directed by the executive.
  1. Gatekeeping:
  • Screen and prioritize incoming calls, emails, and requests for the executive's attention.
  1. Team Support:
  • Collaborate with other administrative staff to ensure seamless office operations.

Qualifications:

  • Bachelor's degree or equivalent experience preferred.
  • Proven experience as an executive assistant or in a similar role.
  • High degree of professionalism and interpersonal skills.
  • Exceptional organizational and time-management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Discretion and the ability to handle sensitive information with confidentiality.
  • Flexibility and adaptability to changing priorities.
  • Strong written and verbal communication skills.
