Job Description

Position Overview:


As AIIR's Executive Assistant, you will provide high-touch administrative support to our executive team, consisting of the CEO, COO, CRO, CFO, and President. Additionally, you will be responsible for managing our Bala Cynwyd office space. This role requires energy, ambition, and a passion for optimizing office operations to create a positive and efficient work environment.


Requirements


  • Proactive nature, excellent judgment, and problem-solving abilities.
  • Exceptional organizational skills, multitasking capabilities, and acute attention to detail.
  • Strong communication skills, with the ability to interact effectively with employees and clients at all levels.
  • Demonstrated proficiency in time management and priority setting.
  • Technological acumen, including proficiency with Macbooks, Google Suite applications, Microsoft applications, and Zoom.
  • A minimum of 7 years of administrative experience supporting senior-level executives.
  • Availability to work five days a week from our Bala Cynwyd office.


Responsibilities:


  • Coordinate catering and meal arrangements for recurring lunches and visitor food preparations.
  • Efficiently schedule, manage calendars, arrange meetings/conferences, coordinate travel, plan events, handle logistics, maintain spreadsheets, and create reports.
  • Manage daily office operations, including office organization and ordering office-related inventory.
  • Handle all mail and shipping-related activities.
  • Oversee office furniture, storage space, housekeeping, furniture, AV systems, and other related aspects.
  • Foster a welcoming culture and environment, ensuring a professional and friendly front desk reception for all employees, coaches, clients, and guests.
  • Maintain optimal condition of conference rooms, meeting spaces, office gym, and office equipment (e.g., copiers, monitors, etc.).
  • Manage building maintenance and vendor relationships for the office.
