We are seeking an Executive Assistant in our Corporate HQ office in Plymouth, MN. This role provides organization and administrative support to the Chief Investments Officer, VP, Business Development and the M&A Team.
The salary target for this role is $95,000 - $105,000 depending on experience; this position is also eligible for an annual team bonus.
Primary Job Functions
Calendar and Meeting Management
  • Schedule and coordinate travel, air | hotel | car | restaurants
  • Calendar management, schedule and manage meetings and calendar
  • Greeting external attendees; vendors
  • Meeting logistics; conference rooms, catering; technology set up
  • Coordinate internal and external meetings
    • Calendar management, schedule and manage meetings and calendar
    • Meeting logistics; conference rooms, catering; technology set up
    • Greeting external attendees; vendors
Coordination of Home Office Visits
  • Assist with conference preparation and presentations for executive speaking roles.
  • Coordinate home office visits for acquisition targets including their travel, transportation, calendars, meeting logistics, restaurant reservations, and all aspects of hosting external parties onsite including assisting with greeting and hosting
Administrative Support
  • Handles accounts payable invoices received and manages in Concur
  • Process expense reports, including corporate card and cash reimbursements
  • Various file management; and project support
  • Supports and tracks Vendors in the Venminder system.
Document production
  • May produce information; spreadsheets, reports and PPT presentations, for use in internal and external executive meetings. This includes formatting, editing, researching, copying, or transmitting text, data, and graphics into final written format.
Education | Qualifications
  • Well organized
  • Knowledge of Microsoft Office
  • Ability to work as a Team Member; positive solution-focused attitude.
  • Technical ability to set up conference rooms for remote attendees, including webinars and other remote meeting technology and software tools
  • Excellent oral and written communication skills
  • Ability to work with and keep information confidential
  • Great time management skills
  • 3+ years office administration experience
  • Professional interactions with departments
  • College degree is required
  • Detail oriented; ability to prioritize work and projects; able to work with deadlines and be flexible
