About the Role

Our Administrative Assistant will report to the Chief Executive Officer. This role will serve as the company's glue for day-to-day support and provide executive support on projects and administration needs to all members of the CardioOne leadership team. The person in this role will be highly visible to all levels of the organization and tasked to complete varied administrative projects/duties while exercising discretion and sound judgment on a consistent basis.


Location: This role is primarily fully remote with some occasional travel required (20%).

Compensation: As a salaried position, the pay is competitive and based on a number of job-related factors, including knowledge, skills, and abilities. The range at the time of hire for this position is $50,500 - $65,000 per year. The range provided herein is the anticipated pay at the time of hire and does not reflect potential future job opportunities.

Roles & Responsibilities

  • Serve as the point of contact for the CEO, helping to ensure effective communication among the leadership team, employees, and external parties as needed.
  • Plan virtual, on-site, and off-site meetings, as well as special events, working with appropriate cross-functional colleagues.
  • Arrange travel, including the arrangement of flights, hotels, car service, etc.; prepare expense reports as needed.
  • Support the development of maintaining a strong workplace culture with a focus on teamwork, collaboration, responsiveness, and fun.
  • Assemble and edit meeting-related materials and distribution of materials, including agendas, status reports, presentations, room reservations, catering, and distribution of leadership team emails/communications.
  • Coordinate executive schedules, and manage leader calendars, including scheduling internal meetings, external engagements, candidate interviews, etc.
  • Track expenses and submit expense reports monthly
  • Manage their busy calendars, with ability to evaluate and prioritize conflicting priorities
  • Schedule travel arrangements, off-site meetings & working meals
  • Understand our executive's goals, priorities, and objectives to anticipate needs and follow up when necessary
  • Facilitate payments to vendors through oversight of the full lifecycle of any "expenses" software.
  • Provide a bridge for smooth communication with internal teams.
  • Continuously seek out ways to streamline operations, with an eye toward increasing efficiency as the organization continues to scale.
  • Handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
  • Create organization charts, and process flows.
  • Prepares agendas and schedules for meetings.
  • Maintains office supplies and coordinates maintenance of office equipment.
  • Records and distributes minutes or other records for meetings.
  • Performs other related duties as assigned.

The base salary for this position is $50,500-$65,000. This range is posted in compliance with multiple state and municipal Pay Transparency laws. In addition to base compensation, this role is eligible to receive additional CardioOne benefits.
