Job Description

Compensation is determined on experience and qualifications: $70,000.00 - $90,000.00 annually.


As an Executive Assistant to the CEO, you will provide executive support to the executive suite at McDonald Automotive. The Executive Assistant serves as a liaison between the family, employees, customers, and vendors for all the executives in the executive suite. Must be creative and enjoy working within an entrepreneurial, family environment that is results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

Executive Assistant Responsibilities

Executive Support:

  • Prioritizes conflicting needs, handles matters expeditiously and proactively, and follows through on projects to successful completion, often with deadline pressures.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, or other executive team members, including those sensitive or confidential. Determines appropriate course of action, referral, or response.
  • Acts as a "barometer," having a sense of the issues taking place in the workplace and keeping the President and executive team updated.
  • Completes a wide variety of administrative tasks for the CEO and other members of the executive team including the Vice-President and Owner, including but not limited to managing a highly active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Manages our facilities team, delegating tasks and following up to ensure every assigned project is completed.
  • Provides leadership to build relationships crucial to the organization's success and manages various special projects for the CEO, some of which may have organizational impact. Additionally, the executive assistant manages construction projects and corresponds with vendors.
  • Works closely and effectively with the CEO, the Vice-President and Owner and Executive Team to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Communicates directly, and on behalf of the CEO, Vice-President and Owner with family members, other executive staff members across the McDonald's organization, and others, on matters related to the CEO, Vice-President and Owner initiatives.
  • Plans, coordinates, and ensures the CEO’s, Vice-President’s and Owner’s schedules are followed and respected. Provides "gatekeeper" and "gateway" roles, creating win-win situations for direct access to the CEO, Vice-President and Owner and other C suite executives' time and office.
  • Provides a bridge for smooth communication between the CEO's offices and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management staff.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other tasks that facilitate the CEO's ability to lead the company effectively.


Family Support and Liaison (as needed):

  • Maintains discretion and confidentiality in relationships with all family members
  • Facilitates coordination of travel and business meetings.
  • Edits and completes first drafts for written communications.
  • Assists family members with travel arrangements, lodging, and meal planning
  • Participates as an adjunct member of the Executive Team, assisting in scheduling meetings and attending all meetings as requested.
  • Assists in coordinating the agenda of senior management team meetings, off-sites, and all staff meetings/events.


Strategic Initiatives:

  • Prepares summaries of initiatives for the President to help centralize information surrounding projects and progress made to meet project expectations.
  • Prepares reports as requested with accuracy and promptly.
  • Responsible for managing the executive suite, including but not limited to equipment, furniture, and supplies.
  • Works with other executives to support strategic initiatives defined by the executive team.
  • Office Management
  • Follows up on contacts made by the CEO, Vice-President and Owner and supports cultivating ongoing relationships in the community and the automotive industry.

  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail


Education and Experience Requirements

  • Experience and interest in internal and external communications, improving workflows, and using technology to streamline processes.
  • A four-year degree is preferred but not required.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Web-based social media
