Greystone is seeking an Events Assistant to support our Events and Brand Merchandise Team. This team develops and drives the firm’s marketing efforts through events and gifting channels while leading strategic business campaigns.

Primary Duties and Responsibilities:
- Provide members of the Event and Brand Merchandise Team with support across various disciplines.
- Work closely with Greystone’s Accounting Teams to process, track, and ensure accuracy of a heavy amount of invoices and corporate credit card charges for Greystone Events Team.
- Events (80%)
- Support senior Event Team members with pre/post-event planning needs. Travel to larger industry conferences to assist with execution of sponsor meeting rooms and logistics related to off-site Greystone hosted events.
- Log, inspect, and track inventory of event supplies, physical marketing collateral, and branded items actively used at client events and internal meetings.
- Troubleshoot shipping delays that may arise with UPS, FedEx, or other shipping carriers, including submission and follow up of claims on behalf of the team.
- Process registrations for Greystone employees attending industry conferences.
- Work closely with Greystone’s Accounting Teams to process, track, and ensure accuracy of a heavy amount of invoices and corporate credit card charges for Greystone Events Team.
- Monitor and organize Event Team inbox, ensuring inbound requests receive attention and prompt responses.
- Data management of Event Team projects in PPM Pro system.
- Process registrations for Greystone employees attending industry conferences.
- Data management of Event Team projects in PPM Pro system.
- Troubleshoot shipping delays that may arise with UPS, FedEx, or other shipping carriers, including submission and follow up of claims on behalf of the team.
- Monitor and organize Event Team inbox, ensuring inbound requests receive attention and prompt responses.

- Inventory, pack, inspect, and track shipments of promotional items and client gifts from the Greystone’s New York office.
- Branded Merchandise/Client Gifting (20%)
- Work with Greystone Relationship Managers (RMs) and third-party vendor to process qualified requests for client gifts, including but not limited to pulling a weekly report from Power BI, using report information to make outreach to qualified RMs, and process/track gift requests and shipments with third party vendor.
- Data management and monthly tracking of engagement and spend for Greystone’s digital gift and new hire programs.
- Inventory, pack, inspect, and track shipments of promotional items and client gifts from the Greystone’s New York office.

Experience, Skills, and Abilities Required:
- Problem-solver who uses critical thinking skills to prioritize and effectively deal with high-pressure situations.
- Minimum of 2 years experience in a fast-paced corporate environment preferred.
- Ability to lift a minimum of 25-40 lbs.
- Excellent computer skills and strong skillset in Proficient in Microsoft Office Suite applications. Experience with Salesforce, Power BI, Cvent, or other sales and event management related software a plus.
- Strong attention to detail and extremely well-organized.
- Flexibility to travel within the U.S. 15-20%
- Ability to self-manage workflow, prioritization, and provide ongoing status updates with limited supervision.
- Team player; with a positive attitude, eager to learn and willing to pitch in wherever needed.

Greystone offers a competitive base salary and bonus. The base salary range for this position is $65,000/year. The specific compensation that will be offered is based on an understanding of the hired candidates' qualifications at the time of hire. Employees are eligible for a discretionary bonus based on employee work performance reviewed during the annual review process.
