About The Position
The Document Control and Training Specialist is responsible for maintaining controlled documents and training activities for Geneva’s operations to ensure quality, consistency, and compliance across the organization. The Document Control and Training Specialist will work alongside subject matter experts across Geneva to identify and deliver control procedures, controlled documents, and organizational and functional training activities.
Salary Range
$47,800 - $65,000. Salaries are determined based on several factors including external market data, internal equity, and the candidate’s related knowledge, skills, and abilities for the position.

About The Position
The Document Control and Training Specialist is responsible for maintaining controlled documents and training activities for Geneva’s operations to ensure quality, consistency, and compliance across the organization. The Document Control and Training Specialist will work alongside subject matter experts across Geneva to identify and deliver control procedures, controlled documents, and organizational and functional training activities.

Responsibilities:
- Responsible for branding of internal documents to include presentations, resource guides, job descriptions, and memos
- Evaluate the effectiveness of trainings, implementing modifications when necessary, and monitors training compliance for employees
- Coordinate periodic controlled document review process
- Update existing controlled documents to align with changes in new processes, systems, and functions in collaboration with Subject Matter Experts (SMEs)
- Present draft documents in approved formats to department directors
- Provide administration and troubleshooting for the document control and training systems. Provides internal technical support and escalates as appropriate to vendors for technical support
- Process new controlled documents for the creation, collaboration, approval, distribution, and communication of policies and procedures for training and compliance purposes
- Route and track completed documents for approval according to established timelines
- Design, develop, and deliver high quality and high impact training activities to ensure employees achieve a high level of performance in their jobs
- Collect and consolidate input from SMEs, management, and other team members to ensure compliant documents in the document management system
- Provide support for audits (internal/external)
- Additional duties as assigned
- Actively participate in change management committee meetings; participate in continuous improvement initiatives
- Proofread all documents for accuracy, consistency of formatting, branding, and use of terminology to endorse quality
- Assist in the coordination and preparation of organizational and departmental controlled documents including Standard Operation Procedures (SOPs), reference guides, job descriptions, and forms
- Must be flexible with changing priorities and able to communicate in a diplomatic and professional manner
- Demonstrated competence in oral and written communication
- Ability to exercise independent judgment in fast-paced, high-pressured environment with strict deadlines and to manage multiple projects
- Experience in writing technical documents and procedures
- Minimum 2 years of relevant experience in a similar position
- Must be organized, attentive to detail, and possess a positive demeanor
- Must have demonstrated competence in use of computing equipment with strong working knowledge of Microsoft Office 365 Suite
- Bachelor’s degree, preferred
- Ability to learn new software applications as needed
