Position Summary
The Coordinator, Global Events will coordinate across Mediabrands and external clients under the guidance and supervision of the Events team. Establishing relationships and liaising with internal office teams, finance, procurement and brands, this person will ensure alignment with Events needs and guide projects to completion efficiently and collaboratively. Spearheading backend processes, the coordinator will play a pivotal role in enabling the teams to execute against all deliverables.
The ideal candidate will possess strong organizational and people skills with an eye for detail. This role will report directly to the SVP, Global Events.
Key Responsibilities
- Draft and send event communications related to hotel confirmations, invitations, and general information
- Prepare PowerPoint decks for executives that offer research selection in a digestible way
- Maintain agenda changes for industry events
- Help prepare and manage logistics for in office and virtual events, coordinating with vendors and internal teams
- Process purchase orders and invoices for payment
- Provide support on all event related inquiries
- Input RFPs to procurement departments for venue and hotel sourcing
- Research to find venues, restaurants, activities, and vendors that align with event at hand
- Manage and track multiple project deliverables and timelines
- Create registration forms and track event attendance using various event platforms.
- Build and maintain contact sheets of vendors, executive assistants, and event staff
- Support various tasks as assigned on all elements of a program, including research, registration and list management, and vendor relations
- Oversee changes to hotel and flight arrangements
- Provide SVP, Global Events with day-to-day administrative support. i.e., calendar, flights, transportation, and expenses
- Oversee and keep current the Events Calendar
- Support the Global Events team in delivering successful events including and not limited to major events such as CES, Cannes Lions Festival, and multi-day summits, from conception to post event operations
Desired Skills & Experience
- One year administrative or event experience
- Highly organized and detail oriented
- Proficient in Microsoft Office Suite and working knowledge of Zoom and Teams
- Excellent verbal and written communication
- Great interpersonal skills

The salary range for this position is $50,000 to $55,000. Where an employee or prospective employee is paid within this range will depend on, among other factors, actual ranges for current/former employees in the subject position, market considerations, budgetary considerations, tenure and standing with the Company (applicable to current employees), as well as the employee’s/applicant’s skill set, level of experience, and qualifications.
