Job Description
Lyker is seeking a Sharp Part-Time Administrative Specialist to support NOAA's Greater Farallones National Marine Sanctuary (GFNMS), which protects an area of 3,295 square miles off the northern and central California coast. Located just a few miles from San Francisco, the waters within Greater Farallones National Marine Sanctuary are part of a nationally significant marine ecosystem. Encompassing a diversity of highly productive marine habitats, the sanctuary supports an abundance of species. GFNMS maintains an administrative office and public Visitor Center on Crissy Field in the Presidio of San Francisco.


The talented Part-Time Administrative Assistant selected support to GFNMS in handling day to day administrative tasks and ensuring the smooth functioning of both the offices and various administrative programs. This position will be based at GFNMS's facility on Crissy Field at the Presidio of San Francisco, CA.


Duties of the Part-Time Administrative Specialist will include the Following:


â—? Answer phones, check general voicemail box daily, answer or route calls/messages as needed


â—? Sign-in all visitors and assist them with their needs; answer the front door; un/lock front door


â—? Reserve conference rooms & vehicles, assist others in doing so


â—? Assist staff with office needs; maintain calendar, schedule meetings, printing documents; manage the mailroom/box, accept and sort deliveries; assist with mailings; Assist with UPS packaging and pick-up; schedule or drop-off as needed; order supplies


â—? Manage and organize supplies and supply room, including ordering and stocking office & printer supplies. Return used printer cartridges; recycle used supplies and batteries


â—? Meet time & attendance requirements (send reminders, enter into online Web T&A system)


â—? Support federal staff travel; reserve flights, hotels & vehicles, create travel orders, process vouchers; respond to travel-related requests from HQ and track travel spending


â—? Support all Staff meetings (send reminders, develop agendas, take notes and distribute summaries)


â—? Manage vehicle fleet, get vehicles cleaned and serviced as required


â—? Coordinate the office Green Team (schedule meetings, emissions audit, implement Action Plan)


â—? Assist with logistics (e.g find venues, transportation, RSVPs), facilitation (e.g. note-taking, presentation set-up), and support (e.g. pick-up meals, make coffee) for office and Advisory Council meetings


â—? Assist the IT department with property inventory and excess equipment disposal


â—? Assist with recyclable and e-waste storage and arrange pick-up or drop-off when required


â—? Manage media/IT equipment check-out list/process


â—? Upload images to Image Database, assist program staff with locating imagery


â—? Serve as a contact person for janitors, exterminator, safety, fire department, Park Service, etc.


â—? Employee enrichment - Assist with new employee on-boarding, plan team-building days; maintain employee birthday list; assist with monthly celebrations


The Ideal Part-Time Administrative Specialist Will Have The Following


â—? Strong commitment to the mission of the National Marine Sanctuary System and Lynker


â—? Bachelor's degree


â—? Previous office administrative experience


â—? Ability to work independently as well as in a team environment


â—? Flexibility, adaptability, and willingness to take on tasks as they arise


â—? Excellent organizational and interpersonal skills


â—? Proficiency in Microsoft Office, Google Docs and Sheets, and/or the willingness to learn


â—? Experience coordinating events


â—? Highly sensitive to timeliness and responsiveness necessary to meet the information needs of a fast-moving, dynamic organization


â—? Detail-oriented, with a commitment to accuracy, consistency, and discretion


â—? A valid driver's license, insurance, and ability to drive a motor vehicle in CA required.
