Job Description

POSITION SUMMARY:


The Administrative Coordinator provides support to multiple departments by performing a variety of administrative tasks.



KEY RESPONSIBILITIES:

  1. Answers and transfers phone calls, screening when necessary.
  2. Welcomes and directs visitors and clients.
  3. Provides temporary support to departments and projects as assigned.
  4. Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
  5. Responds to and resolves administrative inquiries and questions.
  6. Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
  7. Prepares agendas and schedules for meetings and trainings.
  8. Maintains office and kitchen supplies and coordinates maintenance of office-based equipment.
  9. Performs other related duties as assigned.



SUPERVISORY RESPONSIBILITY:

This position does not have direct reports.



POSITION REQUIREMENTS:

  • Keen attention to detail
  • Self-directed and motivated, with the ability to effectively operate independently
  • Expert level proficiency in Excel including but not limited to pivot tables, data analysis, charting, and spreadsheets
  • High level of proficiency in Microsoft Word, PowerPoint, Outlook, and other standard programs
  • Excellent presentation, verbal, and written communication skills
  • Strong time management and prioritization skills



REQUIRED EDUCATION AND EXPERIENCE:

  • 2 + years of demonstrated success in marketing communications, and/or executive support
  • Bachelor’s degree in Marketing, Communications, Business, or related field preferred; combination of education and experience will be considered




OTHER JOB REQUIREMENTS:

Varying work schedules based on business need are sometimes required

  • Ability to sit and stand for extended periods of time
  • Must have a valid driver's license
  • Ability to read a variety of materials
  • Ability to operate a computer keyboard
  • Ability to carry and lift materials up to 25 lbs.
  • Frequently required to sit, stand, walk, talk, and hear
