Job Description


Hill International is seeking a Part Time Administrative Assistant/ Office Manager in New York, New York.


Responsibilities


This role includes performing numerous secretarial and administrative support activities for the office. This administrative position requires the incumbent to exercise good judgment and discretion in the execution of all duties and responsibilities. This is a part time role at 24 hours a week. The individual must be able to be on site at the office on Monday and Wednesdays for 8 hours a day. The additional day will be remote.


Front Desk Operations


  • Using excellent interpersonal skills, communicate with various levels of company staff and management, visitors, clients, etc.
  • Answering phones and routing calls
  • Arranging for courier pickup as needed, and maintaining overnight delivery supplies
  • Greet and host all guests and office visitors with courtesy and respect
  • Daily pickup, drop off, and posting of mail
  • Set up visitor and new hire badging with the building
  • Maintaining office voicemail system; fax machines, copy machines, and printers


Office Operations


  • Coordinating and (when necessary performing) the clean-up and organization of the office
  • Assisting with event/meeting planning
  • Ordering, stocking and coordinating delivery of office supplies
  • Assist with new hire coordination and first day set up


General Administrative Support


  • Photocopying, faxing and filing documents
  • Maintain office project files (paper and electronic) and scan paper documents as required
  • Providing billing assistance, processing invoices, etc.
  • Other Duties as Assigned


Qualifications


  • Experience using Microsoft Office Suite (Excel) software is required.
  • Two-year college degree is preferred.
  • Reliable access to transportation to commute to/from Main Office at One Penn Plaza, New York, NY and willing to work on site Monday and Wednesday.
  • Experience with Microsoft Project or other construction management software is highly desired .
  • Must have a minimum of 5 years experience in an administrator/office manager role.
  • Full Covid-19 vaccination is recommended. Mandatory vaccinations are subject to client requirements.
  • Good written and verbal communication skills solid organizational and planning skills.


The hourly rate for this position is $25.00hr - $35.00hr. The offered salary will be based on the applicants’ qualifications, education, experience, and work location.
