  • This role is an ONSITE role located at 915 Broadway, Suite 501, New York, NY 10010**


Job Summary


The ideal candidate will be in charge of the organization and efficiency of daily office operations. From scheduling client meetings, to communicating between departments, you will be responsible for completing multi-level tasks in a professional and timely manner. This role will be on-site 2-3 days per week, with a typical work week being 15-24 hours. (Wed-Thur. will be the typical days in the office, however based on weekly events this may shift with appropriate notice).


Responsibilities


  • Manage the reception area, providing employees and guests with a hospitable experience Social event planning/coordination for offices
  • Coordinate setting up departmental or client meetings; including assisting with travel arrangements and catering as required
  • Maintain and upkeep common areas; conference rooms, break room, kitchen, recycling
  • Maintain office seating chart
  • Champion cleanliness of the office with focus on lobby, kitchen, conference and supply room
  • Correspond with IT to ensure all office technology is operational
  • Act as project manager for special projects which may include planning and coordinating events, company perks, travel, employee/client gift purchases
  • Interact with IT, phone and building personnel as needed
  • Assist in setting up video conference for regular company meetings, troubleshoot and resolve any challenges that may arise with technology
  • Manage landlord and building relationships; coordinate with office vendors and maintain service contracts
  • Manage office supplies, keeping stock and inventory
  • Order snacks and food as needed
  • Mail/package sorting and distribution / out going mail management
  • Oversee the maintenance of office areas, equipment, and facilities


Qualifications


  • Excellent written and verbal communication skills
  • Ability to multi-task, organize, and prioritize work
  • Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
