Job Description
Summary Of Major Functions


Provides administrative support and maintains front desk operations. Facilitates systems that organize and ensure quality customer service. Maintains data, scheduling and processes for new admissions and therapists. Provides front desk reception.


Job Type: Part-Time, Non-Exempt/Hourly


Pay: $18.50 - $20.00 per hour

Summarized Duties And Responsibilities


Front Desk


  • Support Psychiatrists with prescriptions, faxing, and patient-related tasks.
  • Check front desk voicemail regularly.
  • Support all patients with related external appointments.
  • Greet all patients, visitors, and vendors in lobby.
  • Prepare medical record requests.
  • COVID Specific-monitor incoming employees and patients with screening protocol, extra sanitation for most trafficked areas & navigating and supporting all virtual appointments.
  • Maintain cleanliness and organization of waiting area and front desk.
  • Administer psychological testing and surveys and distribute results to clinicians efficiently.
  • Other job duties as assigned.
  • Manage patient/visitor parking with building management.
  • Answer phones, including call forwarding from other sites.
  • Check faxes and mail; distribute to appropriate parties.
  • Complete Daily Log of insurance checks and payments from the mail.


PHP Support


  • Manage admission and finance documents in EMR for new admissions.
  • Prepare PHP/EIOP admission materials by creating patient handbooks and maintaining an inventory (5 PHP and 3 EIOP), updated weekly.
  • Maintain/distribute patient phone list.
  • Update PHP/EIOP schedule and distribute.
  • Participate with PHP patient orientation paperwork/TCI module.


Outpatient Support


  • Complete reminder phone calls for OP appointments.
  • Schedule new patients, send and collect initial paperwork, and manage initial paperwork in EMR.
  • Collect copayments and past due balances of patients coming in.
  • Maintain patient scheduling for all outpatient providers and schedule new outpatients.
  • Process new Bariatric Surgery inquiries with billing and coordinate appointments.
  • Admit new outpatients into EMR.


Minimum Qualifications


  • Minimum of two years administrative support; healthcare office experience strongly preferred.
  • Good oral, written and interpersonal communication skills required.
  • Experience with Electronic Medical Records preferred.
  • Ability to work as part of a team with coworkers required.


Computer Skills


  • Must be able to efficiently learn and effectively work within an Electronic Medical Records system.
  • Must be able to master an office scheduling system.

Physical demands of this job include but are NOT limited to:


Sitting frequently, standing occasionally, walking occasionally, talking occasionally, hearing constantly, seeing constantly, reaching with arms and hands occasionally, crouching occasionally and using fingers intricately. This position requires lifting/carrying up to 10 pounds occasionally.


Environmental conditions of this job include but are NOT limited to:


95% inside, 99% normal temperature and 99% normal noise as expected in a neighborhood home environment.
