Job Description

We are helping one of our SaaS clients hire a User Research Recruiting Coordinator.

As a User Research Recruiting Coordinator, you will play a vital role in shaping the user experience of the products by supporting the research initiatives by identifying and recruiting participants who match the audience criteria. You will work closely with the researchers and designers to ensure a smooth and efficient recruitment process.

Responsibilities:

  • Process Improvement: Continuously evaluate and improve the participant recruitment process, identifying opportunities for efficiency, quality enhancement, and participant satisfaction. Collaborate with the research team to implement best practices and streamline workflows.
  • Screening and Selection: Review participant applications and conduct initial screenings to determine eligibility and fit for specific studies. Maintain accurate records of participant profiles, screening responses, and recruitment progress.
  • Research Panel Development: Establish and maintain research panels composed of end-users of our software products. Create panels in Ethnio and in UserTesting platforms. Define panel objectives and create participant profiles for recruitment channels. Provide clear communication about incentives and the value proposition of participation. Ensure panel fidelity and uphold best practices of data privacy and opt-in protocols.
  • Collaboration: Work closely with researchers, designers, and other team members to understand research goals, participant requirements, and study timelines. Provide regular updates on recruitment status, challenges, and potential solutions to stakeholders.
  • Communication: Act as the primary point of contact for participants throughout the recruitment process. Engage with participants via email, phone, or other communication channels to provide study details, answer questions, and schedule research sessions. Ensure clear and timely communication to keep participants informed and engaged.
  • Relationship Building: Foster positive relationships with potential and current participants to maintain a pool of reliable and engaged research participants. Cultivate a network of diverse participants to meet the needs of various research studies.
  • Participant Recruitment: Collaborate with researchers to understand the participant criteria for each study and develop a recruitment strategy. Utilize various channels and resources to identify potential participants, such as user databases, online communities, social media, and professional networks.
  • Data Management: Maintain accurate and up-to-date participant records in designated systems or tools. Generate reports on recruitment progress, participant demographics, and other relevant metrics as required. Ensure compliance with data protection and privacy regulations.
  • Scheduling and Coordination: Coordinate research session logistics, including scheduling participants, researchers, and any necessary observers. Manage calendars, send invitations, and handle rescheduling or cancellations as needed. Proactively address scheduling conflicts and ensure all parties are well-prepared for research sessions.

Qualifications:

  • Familiarity with research methodologies and participant recruitment techniques.
  • Excellent communication skills, both written and verbal, with the ability to effectively engage and build rapport with participants.
  • Proficient in using productivity tools and software, such as project management systems, scheduling tools, and participant recruitment platforms.
  • Ethical and professional conduct in handling participant information and maintaining confidentiality.
  • Strong problem-solving and critical-thinking abilities.
  • Bachelor's degree in a relevant field (e.g., psychology, human-computer interaction, sociology) or equivalent practical experience.
  • Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
  • Previous experience in participant recruitment or coordination, preferably in a user research or usability testing environment.
  • Strong organizational skills and ability to manage multiple tasks simultaneously with attention to detail.
