- Complete other duties and special projects as assigned
- Plan and execute team events, gatherings and recognition to foster connection and a strong team culture. Coordination of team onboarding and maintaining communication channels and org charts
- Use sound judgment and discretion to produce work that touches the most sensitive and highly confidential information (e.g. executive hiring, significant organizational changes, external company launches, Only On Airbnb campaigns and highest levels of government eg White House)
- Manage all day to day administrative responsibilities for leaders within Policy & Communications. This includes strategic calendar management and planning to help leaders develop planning strategy around org-wide roadmap and operating cadence, expense management, note-taking, meeting preparation and follow up, report and resource maintenance and coordinating travel and gatherings globally. Act as a thought partner to the leader to strategically align their calendar with their priorities and the priorities of the company.
- Build effective relationships within Airbnb to serve as a catalyst around scheduling and or spontaneous inquiries/requests
- Strong partnership and collaboration with internal/external comms, talent partners, finance, legal and recruiting for org effectiveness
- Participate in hiring new Administrative or Executive Business Partners. This may include supporting sourcing efforts and/or participating on an interview panel based on the needs of the leader. Work in partnership with recruiting coordinators to schedule interviews for the respective leader
- Represent the organization to internal and external stakeholders and have a strong ability to drive impact and influence to progress work forward.
- Assist in content creation and coordination of monthly team forums and communications including drafting emails and creating presentations
- Lead complex projects and initiatives that go beyond the scope of typical administrative work. This includes driving operational effectiveness and complex program management. Manage end-to-end activities related to internal/external board, committee and advisory commitments and deep understanding of company calendar and roadmap
- Manage and maintain strategic relationships with key stakeholders (e.g. vendors, executive candidates, political figures, media representatives, celebrities and influencers)
- Manage and maintain the security of the leader’s email inbox, in compliance with our code of ethics and data privacy, security and protection policies as requested by the Leader
- Act as a mentor for other Administrative or Executive Business Partners. This includes meeting with a mentee on a regular basis and providing guidance and sharing resources to support their growth and development
- Manage global budget for department and partner with Finance and leader to track and analyze and participate in annual planning cycles
- Incredibly organized and resourceful; able to juggle and multi-task, with an acute attention to detail and follow through
- Passion for trying, learning, improving, and sharing best practices
- Exceptional verbal and written communication.
- Previous experience in high growth environment strongly preferred
- 10+ years of relevant experience supporting senior level executives in an administrative capacity
- Strong work ethic, proactive, exhibits positivity, professionalism, confidentiality and good judgment
- May be required to travel up to 25%
- Proficient knowledge of Asana and Airtable
- Advanced presentation skills (Google Docs, Keynote, Excel) and grasp of current social networking systems
- Ability to remain calm and poised under pressure
- Ability to deal with conflict as well as give and receive feedback diplomatically
- Ability to navigate and thrive in ambiguity
