The Opportunity
Berkadia (A Berkshire Hathaway and Jefferies Financial Group company) is a leader in the commercial real estate industry, offering a robust suite of services to our multifamily and commercial property clients. The Senior Administrative Assistant & Office Manager will provide general administrative support for the leaders/team to which they are assigned. This position works with the Executive Assistants to help facilitate the efficient operation of the assigned business unit/location.
What someone will need to be successful in this role
- Expert level experience in administrative coordination including meeting preparation, booking travel, Travel & Expense submission, etc.
- Innovation and/or Real Estate experience a plus.
- Proficiency in Microsoft Office Suite
- Strong organizational skills and ability to multitask in a fast-paced environment with competing priorities.
- Outstanding attention to detail.
- Can-do, proactive attitude that can mean making suggestions and giving options rather than waiting for answers.
- Ability to manage expectations, informing stakeholders of potential delays due to conflicting priorities.
- Able to communicate clearly both verbally and in writing with all levels of an organization, internally or externally.
Responsibilities
- Create and maintain an effective record-keeping system, including filing and retrieval, and managing confidential information- both electronic and hard copy
- Assists with onsite meetings – building access for clients and external employees, coordination of onsite catering - ordering, set up and clean up.
- Work with Facilities on projects related to work location.
- Assists with travel arrangements including visits from HYD employees.
- Responsible for maintaining the professional appearance of the office, ensuring conference rooms and common areas are clean and organized.
- Prepare, proofread, and modify documents, including correspondence, reports, drafts, and emails.
- Perform expert level administrative coordination for meetings including preparations, travel, expense reimbursements (in compliance with corporate expense policy), etc. for managers.
- Responsible for the maintenance of office equipment and ordering office supplies.
- Provides support to senior team members on other tasks as needed.
- Provide administrative support for the leader(s) and/or teams they are assigned including telephone/email communications, scheduling meetings, managing meeting agendas.
