As the RFP Proposal Specialist, you will be working closely with the RFP Proposal Manager by supporting new sales and account retention initiatives via high-quality, on-time, winning RFP/RFI responses. This will include initial response pre-fills using the RFP database, editing, proofreading, and formatting the response documents, as assigned. You will also assist with initial Go – No Go calls and RFP Kick Off calls.
Your role will also require updating the Loopio proposal database, adding new content based on the most recent proposals and updating existing content within defined expiration timeframes. Setting up SharePoint folders to manage each new opportunity will also be required.
 This role will be UK or Europe based and responsibilities will focus on the EMEA and APAC regions, with NA/SA support as needed, based on workload. You will play a key role in the day-to-day RFP support activities to help the team put together winning proposals to meet Sphera’s global Sales goals.
Specific Responsibilities
  • Co-leads proposal kick-off calls and status calls when assigned, as well as peer and management reviews and leads proposal planning calls, develops overall work plans/schedules, assists in determining and communicating roles/assignments, monitors team progress, and organizes peer reviews.
  • Continually adds to, and improves the RFP repository in order to use as a resource for proposal creation, and other sales and company response needs.
  • Handles follow-up work associated with RFPs moving to the next phase: coordinating answers, additional information requests, etc.
  • Manages proposal documents, file sharing, and version control to meet strict deadlines.
  • Follows established RFP and support request processes in SalesForce.
  • Ensures proposal quality by reviewing documents for branding, grammar, and proposal center standards to minimize errors and risks.
  • Prepares final proposal documents in Microsoft Word and, if required, converts to Adobe Acrobat.
  • Works closely with Sales, Solution Engineering, Marketing, Finance, Legal, Customer Care, Product SMEs, and others within the company to provide updated and accurate proposal responses in support of the company's global sales efforts.
Requirements
  • Must be flexible to periodically work outside of regular business hours to meet tight international business deadlines and workload.
  • Must be proficient in Word, Excel, PowerPoint, Adobe DC and comfortable working with Graphics. . Competency with Salesforce and SharePoint, a plus.
  • Strong communication and interpersonal skills; and the ability to work well with employees at all levels of a fast-paced global organization.
  • Familiarity with an RFP Proposal software such as: Loopio, Qorus, Qvidian, PMAPS, etc., a plus.
  • Minimum of 2 – 3 years of sales, marketing or proposal management experience
  • Bachelor's Degree
  • Brings excellent written and verbal communications skills with a strong attention to detail.
