We are seeking a Recruiting Coordinator to support a fast paced and creative, 2-person Sales Team specialized in the Aerospace, Automotive, Environmental, and Innovative sectors. This position will offer growth potential to move you into a client-facing or recruiter trajectory, depending on performance and preference.
As the Recruiting Coordinator you will be responsible for coordinating interviews with numerous clients, providing seamless candidate experience from interview to hire, and any administrative support to a highly dedicated Sales Team. The right candidate is collaborative, communicative, organized and committed to providing excellent service.

Responsibilities:
- Work with hiring teams to schedule, coordinate, and confirm multi-stage interviews, including phone screens, conference calls, video calls and in-person interviews.
- Monitor email box and respond to all inquiries within a timely manner.
- Responsible for accurate, organized, and detailed weekly Excel reports to update hiring managers on candidate search.
- Manage day-to-day, weekly, monthly, quarterly, and annual ongoing projects in project management software, Asana.
- Participate in calls with clients and simultaneously complete notes during client calls.
- Ownership over candidate submissions, tracking progress of the candidate process, and communicating any changes or important updates to the sales team.
- Collect, organize, distribute, and archive the appropriate documents associated with each round of interviews to both the candidates and internal interview team.
- Responsible for accurate information in our Applicant Tracking System, always maintaining a high level of data integrity and confidentiality.
- Creatively solve scheduling conflicts and help to expedite the interview process when faced with roadblocks.
- Will work on note transcription and adjust job descriptions as needed.
- Manage internal reports and documents on both Excel and Word that assist with Sales productivity.
- Ensure first-class experience throughout the interview, hiring, and onboarding process by being the bridge between the candidate, recruiter, hiring team, and People Operations.
- Communicate status updates to the Sales Executives, Recruiters, and other necessary team members.
Qualifications:
- 2+ years of relevant work experience, ideally in the recruitment coordinating, HR, or supplier industry.
- Excellent customer service and communication skills.
- Must be proficient in Microsoft Outlook and Teams scheduling, including managing numerous Excel reports that will be edited daily.
- Ability to effectively communicate with all levels of management.
- Articulate, proactive, and great communication skills.
- Being comfortable in a fast-paced environment.
Bonus Qualifications:
- Jobvite ATS experience preferred.
- Bachelor’s Degree or equivalent is preferred.
- Previous project management software tools experience such as Trello, Monday.com, MS Project or Asana.
Location: Location: Remote/ WFH
Hours: Monday - Friday starting 8:30am to 5:30pm ***Must work Pacific Daylight Time***
