The Dean of Students Office promotes student development and enhances the experience of undergraduate and graduate students through programs, services, partnerships/connections, and policy development that promote an inclusive campus climate and facilitate the successful navigation of campus life.
The core work of the Dean of Students Office includes promoting a safe and respectful campus community, enhancing students' Michigan experience, providing support services and managing critical incidents impacting students and the campus community, and recognizing and responding to the emerging needs within the student population.
Job Summary
The Dean of Students Office is seeking a full-time receptionist/administrative assistant temp who will provide a professional welcoming atmosphere in the Dean of Students Office (in person, via email, and by phone) and administrative support to the DOS staff.
Responsibilities*
Provide receptionist duties for the Dean of Students Office (DOS) in the Michigan Union
- Schedule student staff for the DOS front desk
- Triage incoming emails and phone calls regarding critical incidents, off-campus student support and housing, parent and family engagement, Parent & Family Weekend, and other DOS programs
- Greet students, parents/families, and other visitors, answer questions, connect them with the appropriate DOS staff member, and/or direct them to the appropriate resources or department
- Provide immediate and ongoing guidance to student staff members regarding front desk responsibilities
- Respond to emails and phone calls from parents/families, staff, students, and faculty in a timely manner
- Remain abreast of emergent campus issues in order to answer routine and unique questions
- Submit and monitor maintenance requests for office suite; serve as liaison with University Unions staff for physical plant issues, key/access coordination, and space management
- Monitor office machine maintenance and serve as point of contact for service
- Liaison for mail distribution in the Dean of Students Office
- Stock and maintain office supplies, event materials, and office/program marketing supplies
- Make appropriate referrals of incoming emails and phone calls to other staff members and/or university offices for awareness and response
Provide administrative support to the DOS Office professional staff members
- Provide administrative support for various staff searches
- Prepare materials for trainings and meetings
- Conduct research into programs and practices at other institutions as requested
- Schedule meetings and make room reservations as necessary
General Responsibilities
- Review publications, relevant stories, and accolades of U-M students and share with the Dean of Students as appropriate
- Remain aware of emergent campus and institution-wide issues in order to answer routine and unique questions
- Update/edit DOS information for annual publications and general materials
- Conduct broad research or benchmarking into programs and practices at other institutions as requested
- Coordinate and/or assist with the management of other special projects as necessary
Required Qualifications*
- High school diploma
- Experience with Google mail and calendars
- Proficient with Microsoft Office Suite
- Previous clerical/secretary experience
Desired Qualifications*
- Experience working in a higher education or school setting
- Ability to manage multiple and competing priorities and thrive in a diverse, fast-paced student affairs office responsible for responding to emergent needs and issues.
- 2+ years of administrative experience
- Bachelor's degree
- Familiarity with UM policies, procedures, and organizational structure
Additional Information
Working conditions
Work schedule is Monday-Friday, 8:00 am- 5:00 pm. in the Michigan Union.
Physical requirements
This position requires the ability to travel to various campus locations to deliver materials and provide event support. The person in this position may need to move items weighing up to twenty-five (25) pounds, etc.
The person in this position routinely moves through the facility to attend meetings/events and access files or information.
Direct reports
May help coordinate the work of front desk student staff.
This role may have reporting obligations under Title IX and Clery.
Authorization to work in the U.S. is a precondition of employment and applicants for this position will not be sponsored for work visas.
Salary may vary depending on qualifications, experience, and education of the selected candidate.
Relocation will not be offered for this position.
Selected candidates whose start date is 4/1/23 or after, will not be eligible for the university salary/merit plan in 2023 unless otherwise notified.
