Job Description
Oasis Systems has an exciting opportunity for a Project Administrator at our Rockville, Maryland office. The project administrator will work closely with the Program Management Team (PMT) assisting with project monitoring, data gathering, coordinating on and offboarding and communicating with the team and Customers on behalf of the PMT.

RESPONSIBILITIES


Functionally, the candidate will be responsible for assisting the Program Management Team (PMT) and Customer with the following activities
  • Information Assurance Overview
  • Gathering of cybersecurity related statistical data
  • Update CPSS GFE Laptop Inventory spreadsheet and place on Oasis SharePoint site
  • Collect and file CPSS Contract Acknowledgement Form with electronic signature
  • Follow up with new hire after paperwork has been submitted to confirm receipt of e-App and Fingerprinting notification from NRC
  • Collect badge number for Agencywide Documents Access and Management System (ADAMS) form
  • Facilitate Contract Orientation meeting
  • Request access to NRC SharePoint sites and Risk and Continuous Authorization Tracking System (RCATS)
  • Update inactivate user access spreadsheet
  • Tracking and status reporting of Federal Information Security Modernization Act (FISMA) and Assessor System Statement of Risk (ASSR) related activities and monitoring due dates – sending notifications for activities expiring
  • Maintain Cybersecurity Program Support Services (CPSS) Access Request Status Spreadsheet
  • Scanning Overview
  • Assessment Overview
  • Interface with Customer and PMT frequently to determine evolving needs and priorities
  • Submit new hire security paperwork to Contracting Officer's Representative (COR)
  • Ensure Controller schedules Controller Overview
  • Assisting with Onboarding and Offboarding
  • Submit account termination request email to COR
  • Once start date has been determined
  • Notify management of NRC access approval
  • Scheduling multiple meetings with Customers and internal staff members (i.e. project kick off and document review meetings)
  • Email Controller list of tentative projects new hire is slated to work on
  • Coordinate Government Furnished Equipment (GFE) pickup with NRC laptop department
  • Take equipment back to NRC and return badge to security
  • Fill out and collect Subcontractor Property Award Acknowledgment Form with electronic signature
  • Update Oasis Support Staff Contract List on SharePoint
  • Training Overview
  • Submit NRC Local Area Network (LAN) Identification (ID) request
  • Add new hire to internal Bi-Weekly All Hands Meeting invite
  • Quality Assurance Overview
  • Taking, compiling, distribution of meeting minutes and action items
  • Schedule internal Oasis meetings during first two weeks
  • Coordinate GFE and badge pick up and send new hire pick up instructions
  • Schedule badging appointment for new hire
  • Posting of documentation and data to SharePoint
  • Welcome to the Team
  • Notify Training Coordinators for awareness
  • Contract Orientation
  • Request new hire be added to Oasis Distribution List and SharePoint site
  • Email Human Resources for FedEx box (if applicable) for return of GFE upon team member termination
  • Creating in depth agendas to distribute before meetings
  • Uploading data into the contract Deliverables Report (DR) (SharePoint list)
  • Develop and monitor project schedules
  • Responsible for the following additional activities
  • Maintain Program and Project Manager calendars
  • Updating the Customer PowerPoint with project status and issues/schedule impacts bi-weekly
  • Gathering Office of the Chief Information Officer (OCIO) project status for distribution on weekly basis
  • Maintain activities spreadsheet
  • Collecting percent completes, notifying the PMT of any projects that are behind schedule, and posting the consolidated schedule roll up to SharePoint weekly
  • Reviewing NRC Risk Dashboard to ensure all project dates are met
  • Assists the PMT with the following daily program management and administrative activities
  • Contract related reporting
  • Other duties as assigned
  • Coordinating drug testing appointments for contract staff
