Job Description

A highly prestigious family office based out of Miami, Florida, is looking for a seasoned Executive Personal Assistant to support their CEO. The ideal candidate is a highly organized and polished individual who is able to multitask, pay attention to details, and handle a constantly changing schedule.


RESPONSIBILITIES:


  • Schedule seasonal routines and procedures for the household interior and exterior needs: landscaping, window washing, power washing, etc.
  • Coordinate onsite activities and provide day-to-day direction to outside contractors, landscapers, gardeners, vendors, and other service and goods providers including scheduling appointments for service
  • Assist with receiving, screening, and routing incoming telephone calls, mail, publications and correspondence; proactively handle information requests and maintain call log
  • Assist with organization of areas of the Estate, including stocking miscellaneous household items
  • Coordinate events taking place at the Estate in conjunction with other Estate staff (Estate Manager, Personal Chef, and Housekeeper)
  • Schedule and coordinate Principal’s calendar; schedule calls & meetings, coordinate activities, manage relationships and information flow with all business associates, including board members and staff
  • Collaborate with Estate Manager to assist managing the Estate and grounds
  • Arrange worldwide travel and accommodations of Principal’s business and personal travel
  • Maintain files in an organized manner with appropriate safeguarding of confidential information
  • Organize, package, ship and receive deliveries and packages for household and Principal
  • Backup to Estate Manager as needed to cover on days off and vacation time
  • Assist with planning routine maintenance for the Estate
  • Contact and oversee vendors. Source and compare multiple bids and supervise work once scheduled
  • Schedule and confirm personal appointments and reservations
  • Coordinate flight schedule with Aviation Team
  • Book accommodations and reserve ground transportation between airport, hotel, board meetings, and outside dinners


REQUIREMENTS:


  • Valid driver’s license
  • Excellent interpersonal skills to establish and maintain support
  • General understanding of household mechanical systems, appliances, technology and routine maintenance practices of these systems
  • Tech savvy candidate who can leverage technology and is proficient in modern technology including knowledge of MS Office Suite (particularly Microsoft Outlook)
  • Must have excellent writing skills
  • Superior process and time management skills
  • Must be a self-starter and treat the property as if it is their own
  • Understanding that the highest levels of confidentiality and discretion are required at all times
  • 4-Year degree from accredited college or university preferred
  • Flexible scheduling with availability to work overtime
  • Exceptional project management skills
  • Outstanding references from both current and previous employers


Salary Range:

Up to $130,000-150,000 + benefits
